Join the University of Iowa's Departments of Economics, Finance, and Marketing in an exciting role as a Department Administrator. This pivotal position plays a fundamental role in supporting department executive officers, faculty members, students, and staff. At the core of departmental operations, this role involves overseeing administrative functions while providing support for the finance and academic functions in the office suite. Serving as the primary orchestrator of numerous departmental events, including seminars, guest speaker visits, and conferences, the Department Administrator assumes responsibility for event planning and execution. As this role oversees a dynamic team of student employees, we are seeking candidates with experience and enthusiasm for working with students. The position is on campus during Fall and Spring semesters with a flexible work arrangement available during university breaks.Specific Job Duties and Tasks
- Serves as lead operations manager for the office, including event planning, travel arrangements, internal communication, and supervising student employees. May assist with additional activities related to academic planning and financial management.
- Plan and execute all aspects of department events, which may include academic seminars, board meetings, conferences, welcome/orientation events, and faculty and committee meetings.
- Provide printing assistance for course materials and exams.
- Manage biweekly student employees; hire, train, schedule, assign workload, manage performance.
- Assist with faculty recruitment activities.
- Participate in new faculty onboarding.
- Initiate purchases and travel requests for department faculty and students.
- Work with Shared Services and Tippie Accounting Team Purchasing department's team to communicate account (MFK) and business justifications for invoicing and reimbursement requests.
- May assist with monitoring departmental budgets.
- Primary point-of-contact for Departments of Economics, Finance, and Marketing.
- Document and maintain department records.
- Maintain compliances (FERPA, cash handling).
- Manage all aspects of seminar series for the departments; including speaker announcements, itineraries, send communication, seminar schedules, updating of websites, room scheduling, etc.

- Bachelor's degree or the equivalent combination of education and experience.
Required Qualifications
- Experience, typically 6 months - 1 year, and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units. Experience while an undergraduate student is acceptable and can be counted toward the 6 months1 year of experience required.
- Excellent organizational skills and attention to detail.
- Experience and ability to foster a welcoming and respectful workplace environment while recognizing personal differences and ability to work with a variety of individuals and groups in a constructive and respectful manner.
- A demonstrated working knowledge of and application of effective communication techniques and relationship building skills.
- Demonstrated ability to prioritize tasks, multi-task, and work as part of a team.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook Teams).
Desired Qualifications
- Experience planning events, including managing travel, ordering food, securing a location, and managing a timeline.
- Event management experience which may include project development, coordinating logistics, and/or managing event-day operations.
- Knowledge of or experience with UI tools (Universal workflow, MAUI, MyUI).
- Knowledge of University policies, procedures, and regulations.
- Experience working with or supervising student employees.
- Customer service experience in an academic environment.
