Job Description:
Under the supervision of the Department Chair, with latitude for independent judgement, the Department Coordinator will provide administrative and project support in the operation of programs within the Advertising and Marketing Communications department.
Responsibilities & Essential Functions:
* Perform a wide range of complex and varied administrative duties, as assigned in support of department and program needs.
* Experience working independently and ability to take initiative in identifying and resolving issues.
* Provide administrative support to the Chairperson, department faculty, Classroom Assistants and Technicians.
* Compose and edit documents and correspondence for Chairperson
* Attend department and college-wide meetings as required, take notes, prepare meeting minutes.
* Assist in maintaining the Chair's/Assistant Chairs' calendars. Set up meetings, distribute agenda, meeting materials, etc.
* Appropriately manage incoming calls, greet and direct students and visitors. Handle department mailings, postings, and assists with department listserv.
* Contact faculty and students when courses are canceled as well as prepare the related forms for action to be taken within the College. Post notices as required. Assist with overtally and waivers.
* Handle absence reporting for Faculty in Faculty Absence reporting System
* Assist curriculum record keeping changes through CIM and maintain faculty pedagogic information in system
* Use Banner/ Hyperion/Argos/WinSCP to retrieve information for reports used by the department, School, or College.
* Assist with the department's tenure and promotion process and assist with new hires
* Prepare, process, track and follow-up on orders and equipment repairs in coordination with Classroom Assistant/Technician.
* Organize, prioritize, review and maintain office records, office procedures, recordkeeping systems, inventory and supplies
* Assist in faculty assignments following the AOP lists. Input faculty pedagogic in Banner, pull reports from Hyperion.
* Coordinate with the faculty, publisher, and FIT bookstore, in ordering, maintaining and updating course materials and books
* Handle logistics and advance planning for department events, classroom guest speakers and department alumni in conjunction with Administrative Coordinator and Chair
* Support the Chair and Assistant Chair with study abroad programs
* Assist with departmental and foundation budgets as required.

Requirements:
Minimum Qualifications:
* Bachelor's degree required.
* 2-4 years of office administration, administrative support or appropriate related experience.
* Working knowledge of Microsoft Office 365 and/or Google Suite.
Preferred Qualifications:
* 5+ years of experience in office administration or administrative support.
* Knowledge of Finance Enterprise, Argos, Banner, WinSCP, Google Suite, Photoshop, Adobe Acrobat (for PDF), and Smartsheet.

* Excellent verbal and written communication skills.
* Strong computer skills.
* Conscientious, self-motivated, flexible, and punctual.
* Ability to problem solve, work independently, and excel in a team-oriented environment.
* Must be detail oriented.

* Must possess and demonstrate excellent service skills and the ability to work with a diverse constituency.
* Ability to communicate effectively, prioritize tasks, and handle multiple tasks/projects.
* Working knowledge of Microsoft Office 365 and/or Google Suite.
* This position will be required to constantly read and comprehend, occasionally perform calculations, constantly verbally communicate, frequently analyze, and constantly write.

Salary
Salary: $66,313 - $71,066 per year
The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $66,313 per year with step increments per Salary Schedule 92, after one year of service and annually thereafter.
Work Schedule
Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.

Working Environment and Physical Requirements
The working conditions for this position will be on campus primarily in an office environment. The physical requirement for this position will require constant sitting, frequent standing, occasional bending, frequent walking, and occasional lifting 50 lbs. or less.
