Job DescriptionPOSITION OBJECTIVEWorking under limited supervision, the Department Coordinator will provide administrative management and coordination of fiscal operations and a limited variety of business-related functions. Manage financial processing of multiple grants received and awarded by First Year Cleveland. Oversee departmental budget needs, submit requisitions for non-salary accounts, maintain and monitor grant-funded budgets and expense accounts, complete and submit project budgets. Manage communications with external partners related to funding and events. Assist with organizing and coordinating events, trainings and conferences. The department coordinator regularly exercises discretion, judgement, and has authority to waive or deviate from established policies and procedures without prior approval.First Year Cleveland's vision is that every baby born in Cuyahoga County will celebrate their first birthday. The partnership is rooted in a commitment to racial equity; recognizes the challenges that result from systemic racism; and views racism as a public health crisis.ESSENTIAL FUNCTIONS* Maintain and monitor grant funded budgets and expense accounts. Prepare estimated budget expenditures; monitor and verify expenditures; ensure compliance with Case Western Reserve University and sponsoring agency policies and procedures; prepare administrative reports for submission to sponsoring agencies. Work with staff to submit reports on externally funded projects. Maintain externally funded project records and coordinate communication with community. (60%)* Prepare and maintain departmental budget by analyzing program plans on both a short- and long-range basis, considering past requirements and expenditures, and present program plan. Perform needs assessment, make projections based on multiple items and variables, analyze budget variances and recommend courses of action. Prepare analytical reports and analyses. Also responsible for department travel expenses, adhering to sponsor and institutional guidelines, and submitting in a timely manner for reimbursement. (10%)* Manage daily office functions including but not limited to: schedule department meetings, staff travel and make seminar/conference registrations for staff; serve as liaison between First Year Cleveland and [U]Tech; act as primary contact point for partners via email or phone; order and purchase supplies; receive and process product orders and payments and deposit funds; reconcile P-card transactions; create requisitions and payment requests as needed; and assist with processing staff expense reports. (10%)* Advise and direct staff in the preparation of grant proposals and applications including compiling data and preparing budgets. Enter grant proposals into SPARTA and work with the Director of Research Administration at the Jack, Joseph and Morton Mandel School of Applied Social Sciences and pre-award services in the university's Office of Research Administration to ensure adherence to university, local and federal guidelines. Meet with principal investigators on a regular basis to review grant funding versus budget and give appropriate financial direction. Ensure compliance with federal regulations as outlined in A-21, A-110 and A-133. (10%)* Assist with organizing and coordinating events and conferences including arranging meeting rooms, catering and any supplies or equipment needed. (10%)NONESSENTIAL* Support the director of operations with human resources activities within the department. Maintain liaisons with appropriate school and central human resources staff to proactively respond to human resources problems, issues and special requests. Ensure all human resources paperwork for employment, terminations, and leaves of absence are processed correctly and in a timely manner. Provide department orientation for all new staff and faculty. Hire and supervise student workers as needed. (
