What We're Looking For

Countybank is seeking a self-motivated, detail-oriented individual to serve as a Deposit Operations Administrator. The Deposit Operations Administrator will report to the Bank Operations Manager. The individual in this position will be primarily responsible for handling compliance-related functions of Deposit Operations. This position is responsible for completing multiple tasks related to day-to-day operations of the bank as well as handling functions that have a regulatory, monetary, and potential reputational risk impact. Functions are time sensitive and must be adhered to by means of policy and procedure.

What You Can Expect

  • Required to be a subject matter expert and resource for all things related to deposit compliance within the department as well as how they relate to other divisions within the bank. Areas include, but not limited to, Expedited Funds Availability-Reg. CC, Reg. D, Truth in Savings-Reg. DD, Electronic Funds Transfer Act-Reg. E, Privacy-Reg. P, Advertisement Membership, Overdraft, E-Sign Act, Consumer Protection in Sales of Insurance, Fair Credit Reporting Act-Reg. V, CAN-SPAM Act, Telephone Consumer Protection Act, Right to Financial Privacy Act, Non-Deposit Investment products, Federal Garnishment Rules, Regulation O, Bank Secrecy Act, etc.
  • Manage activity on accounts that are in a special status to ensure account agreements and regulatory requirements are followed.
  • Manage all IOLTA interest remittance and escheat notifications and processing.
  • Manage processing of all levies, garnishments, liens, and reclamations.
  • Manage the filing of all CTRs, including, but not limited to, reviewing cash reports, reviewing teller journals, preparing each CTR, coordinating with frontline staff and BSA Officer, filing CTRs with FinCEN, etc.
  • Mange the filing of all MILs, including, but not limited to, reviewing cash reports, reviewing teller journals, preparing each CTR, coordinating with frontline staff and BSA Officer, filing MILs internally for retention purposes, etc.
  • Manage tax forms preparation, corrections, and account verifications.
  • Manage account controls and processing for deceased customers, including, but not limited to, reviewing obituaries, reviewing IRS notices, reviewing account activity and ownership, controlling accounts, etc.
  • Reviewing all overrides for identity and OFAC discrepancies.
  • Participate in audit and exam preparation and meetings for areas managed.
  • Participate in daily processing of images and statements into central storage software.
  • Initiate cases and coordinate efforts with core provider and other vendors to resolve system issues.
  • Participate in scanning (branch capture) customer transactions processed through the support center.
  • Responsible for providing guidance to internal and external customers regarding Deposit Operations and deposit compliance.
  • Expected to recognize problems that could have a customer or regulatory impact and escalate to appropriate department manager.
  • Make recommendations and/or implement department changes in an effort to improve processes and to reduce expense/and or loss. Keeps abreast of industry changes that will improve job function and performance.
  • Review published department operational procedures and revise or add to ensure information provides clear and accurate instructions.
  • Lead or assist with special projects as needed.
  • Train other members of the Deposit Operations Department and new frontline associates on your specific area of expertise.
  • Reviews daily reports to ensure accounts function per customer and bank expectations.
  • Responsible for developing and creating reports as needed within the department.
  • Responsible for responding to customer research requests for account statements and documentation.
  • Participate in handling of all mail functions for the bank including sorting, processing, and delivery.
  • Retain knowledge that fully represent the Bank's products and services and show appropriate level of courtesy and efficiency.
  • Cross train in other functions of the Deposit Operations Department.
  • Other Duties as may be assigned by supervisor.

Skills & Education Requirements

  • High School Diploma required, Bachelor's Degree preferred;
  • 3-5 years of banking experience, specifically in the Deposit Operations Area, is preferred; or any equivalent combination of education, training or experience which provides the required knowledge, skills, and abilities.
  • A strong working comprehension of Deposit Operations activities and banking compliance preferred.
  • Ability to work independently, with little to no supervisory oversight.
  • Requires excellent communication skills, good time management skills and the ability to initiate and embrace change.
  • Ability to work in a fast-paced environment while maintaining professional demeanor.
  • Strong decision-making process that is consistent, thoughtful, and informed, with the ability to consider alternate conclusions and actions.
  • Strong Customer Service/Call Center Skills
  • General mathematical, analytical, and organizational skills, with strong attention to detail with immediate and accurate results.
  • Ability to operate computers, adding machine and a variety of office equipment.
  • Team player with a positive Can Do attitude.
  • Ability to move up to 15 pounds.
  • Must be able to remain in a stationary position, often standing or sitting for prolonged periods.
