The Deputy Clerk I will start in criminal division and eventually could be cross trained for civil division. This class is responsible preparing and differentiate all necessary paperwork to reflect motions for discovery, orders for discovery and judge's orders whether in criminal or civil proceedings. This will allow our supervisors to manage effectively, efficiently for the Clerk's office, and have back up which will allow continuation to operate seamlessly with confidence and security. Deputy Clerk I must multitask in order to be able to start and stop what they are doing.
The Deputy Clerk I, involves entering various data and involving organizing and maintaining information into state computer systems i.e., circuit court management system, circuit imaging system, financial accounting system. Responsible for researching guidelines, departmental records and updating correctly cases. Also composing and indexing a variety of routine documents but not limited to: i.e., subpoena, subpoena duces tecum. Tasks but not limited to: inmate mail processing (responses, request and scanning), receipt any cash bonds, new case entry and processing, assign new case numbers and distribute list to Commonwealth's Attorney, general district and juvenile domestic relations courts.
Prepares reports, correspondence, forms and other legal documents as required, including filing and scanning documents appropriately. Receive, distribute, and process incoming mail and prepare outgoing documents for postal service. Must be able to work with customers whether front counter, telephone or written requests. Customer service is a must and attention to details.
The Deputy Clerk I develops work methods and sequences under general supervision.
Required Qualifications
VOCATIONAL/EDUCATIONAL REQUIREMENT: Requires high school diploma or GED and any combination of education and experience equivalent to satisfactory completion of one year of college education in office technology, business administration or a closely related field.
EXPERIENCE REQUIREMENT: In addition to satisfying the vocational/education standards, this class requires a minimum of one year of related, full-time equivalent experience.
SPECIAL REQUIREMENTS: Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Emergency operations support work and work locations may be outside of normal job duties.
Preferred Qualifications
* Preferably have circuit court experience but will train having prior general or juvenile domestic court experience.
* Able to work with customers to do computer research and analysis.
* Must be efficient in keying, indexing or typing accurately minimum 60 wpm.
* Computer proficiency is preferred and attention to details is a must, i.e. data entry.
* VCIN background checks experience is helpful.
* Attention to detail in order to avoid critical mistakes and has judgment with extraordinary consistency.
* Capable of cross-training within the criminal and civil divisions.
* Proficient in all Microsoft and Excel Technology, including CCMS and FAS knowledge.
* Ability to draft legal documents.
* Accurately able to multi-task at a high volume
* Experienced in handling confidential paperwork.
