JOB SUMMARY
Reporting directly to Chief Deputy Clerk or District Clerk, responsible for performing daily clerical operations for the Williamson County District Clerk's Office, in one of the Assignments outlined below.
EXAMPLES OF WORK PERFORMED
* Performs detailed legal procedures associated with the receipt, review, processing and maintenance of court documents and case files
* Provides customer service to internal and external customers
* Collects payments for court costs and manages front counter till
* Collaborates with attorneys, departments, and litigation parties for necessary documents
* Provides customer service and directs incoming calls, faxes and mail
* Copies, files, and audits invoices
* Performs extensive data entry and maintains database
* Utilizes legal reference materials to perform research related to current laws and procedures
* Processes court-related documents
* Serves as courtroom clerk, when necessary
* Cross-trains for departmental coverage of specialized duty assignments
* Attends all meetings and trainings, as required
* Performs special duties as assigned
Records Clerk Assignment:
* Responds and completes requests for records, copies, and research from internal and external customers
* Makes and produces certified copies of documents for public use
* Performs upkeep of all historic and microfilms records for the District Clerk's Office
* Collaborates with department employees on record retention and record management processes
Issuance Clerk Assignment:
* Processes all issuance requests filed by external law firms and other entities
* Prepares varied legal documents including citations, writs, motions, subpoenas, orders, judgements and abstract of judgements
* Reviews and accepts all civil/family cases
* Processes all expunction cases and conducts follow-ups until closed
Exhibits Clerk Assignment:
* Files, scans, and creates reports to ensure exhibits are properly organized and stored
* Catalogs, tracks, and prepares storage of exhibits according to retention statues
* Reviews and processes court documents related to exhibits destruction and distributes notices as necessary
* Coordinates removal of exhibits with external parties for disposal or for additional storage
Attorney General Clerk Assignment:
* Reviews and accepts all filings for petitions, motions, and pleadings for processing
* Determines court and records cost and verifies billing and invoices received from the state Attorney General's (AG) Office
* Serves as department liaison for AG communications as needed
* Assists with jury duty selection process
* Process any requested issuance in connection with Attorney General cases filed (citations, writs and capias)
Information Clerk Assignment:
* Opens and processes all incoming and outgoing mail
* Files, stamps, and processes all documents in clerk queue
* Collects information and responds to inquiries regarding cases, petitions, and other court filings
* Serves as department switchboard and directs incoming calls to appropriate department or clerk division
Tax Clerk Assignment:
* Receives and reviews petitions for delinquent taxes, notices of nonsuits and interventions
* Distributes and issues citations via certified mail
* Serves as department liaison for external law firms and assists with tax collection efforts for Williamson County
* Collaborates with constables on determining court fees and information regarding case disclaimers

* Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying

* Work is primarily indoors in an air-conditioned environment
IRREGULAR HOURS
* Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
* May be deemed essential personnel in the event of an emergency
MINIMUM QUALIFICATIONS
* High School Diploma or equivalent
* One (1) year of clerical experience in a professional office environment, including cash handling and customer service
* Working knowledge of Microsoft Office Suite
LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
* Valid Texas driver's license
PREFERRED QUALIFICATIONS
* Three (3) years of clerical experience
* Three (3) years of cash handling experience
* Prior experience working in a legal or government capacity
* Prior experience in e-Filing Process
* Bilingual in Spanish
* Extensive experience in Microsoft applications
