ABOUT THE FOUNDATION

The Lucile Packard Foundation for Children's Health, in partnership with Stanford Medicine and Lucile Packard Children's Hospital, unlocks philanthropy to transform health for children and families in Northern California - and around the world. Through fundraising and grantmaking, the Foundation drives scientific research, innovation, and policy change that will improve care, advance cures, and reform healthcare systems for this and future generations.

MAIN FOCUS: Provide administrative support to the Vice President, Transformational Giving to assist her in maintaining a donor-centric, high-quality level of work. Work closely with the Transformational Giving team to provide general program support.

LOCATION: Palo Alto, CA (hybrid); the successful candidate for this role will be based in the Bay Area. This role requires attendance in the office a minimum of two to three days per week and as needed by donor activity.

WHAT YOU'LL DO...

The Transformational Giving team is a key revenue team at the Lucile Packard Foundation for Children's Health and targets the highest levels of philanthropic support. This nexus team is responsible for generating big ideas and gift opportunities that all of us across the Foundation can leverage. The team is also charged with growing our donor pipeline and collaborating on recruitment for our board and the hospital board.

The team partners closely with the Foundation's President/CEO, Board Relations office, and frequently interacts with the school of medicine and hospital leadership.

Reporting to the Project Manager, Transformational Giving, the Development Associate will work closely with the Vice President (VP), Transformational Giving, and help her to maintain a donor-centric, high-quality level of work. This requires the ability to prioritize and efficiently execute concurrent tasks and thrive in a fast-paced and engaging environment. The Development Associate will also provide general support to activities related to the Transformational Giving program.

YOU'LL BE RESPONSIBLE FOR...

Administrative Management (40%)

  • Manage the VP's calendar, negotiate the needs of others requesting time with the Vice President, and resolve scheduling conflicts with limited or no consultation, preparing the Vice President for meetings, and preparing agendas and materials as needed.
  • Coordinate in-person internal and external meetings and Hospital tours, setting agendas, booking conference rooms, arranging catering and travel arrangements, preparing and disseminating meeting materials, and providing AV support.
  • Help plan and circulate agendas for team meetings, take notes, and track action items.
  • Build a network of relevant contacts at the Children's Hospital and School of Medicine and stay informed of current university initiatives and activities.
  • Help maintain processes for storing, tracking, and sharing information.
  • Process expense reimbursements for the Vice President.
  • Assist the Vice President with preparing gifts (cards, flowers, etc.) for donors.
  • Support the portfolio of the Vice President through strategic development (donor related tasks, event mailing lists, etc.).
  • Enter the Vice President's correspondence with donors and meeting summaries into the database.
  • Help process and document donor gifts.
  • Assist with donor and event briefings as needed.
  • Help document and track board engagement activity.
  • Coordinate mailings and pledge reminders to prospects and donors.
  • Ensure strategic donor engagement by reviewing with the Vice President their donors listed to receive mailings and event invites.
  • Retrieve and update information about and engagement with prospects and donors, request assignments, and generate reports. On a weekly basis, review proposal status and portfolio changes.
  • As assigned, conduct research on prospects and donors, in coordination with the Prospect Research Team.

Event Support (10%)

  • Work with the Transformational Giving team and Special Events team on tasks for donor events as needed.
  • Coordinate and execute Transformational Giving donor events not supported by the Special Events team.

Special Projects (10%)

  • Support donor-facing communications for VP.
  • Recommend new approaches, procedures, and processes to effect continual improvements in efficiency of department and services performed.
  • Support administrative and logistical team activity as needed.

YOU MUST HAVE...

  • This role requires attendance in the office a minimum of two to three days per week and as needed by donor activity.
  • Associate or Bachelor's Degree or equivalent work experience.
  • 2+ years directly related work experience, including experience in the development industry and/or experience in a support role.
  • Demonstrated ability with Microsoft Office suite, especially Outlook, Word and Excel or the ability to quickly learn the suite through courses and online videos.
  • Knowledge of database systems, for example Raiser's Edge, Salesforce, or the ability to quickly grasp new computer databases.
