The Development Coordinator will be an integral member of a 26-person fundraising department, supporting efforts to raise funds from individual donors and prospects, foundations, and corporations. Job responsibilities will include drafting letters and proposals, coordinating and documenting donor and program meetings, managing donor/funder information in the office database and generating reports. The Development Coordinator will also collaborate with other members of the department on special projects as they arise. The position reports to the Director of Development.

Principal Duties and Responsibilities

Provide direct daily support to frontline fundraising officers (may include leadership annual giving officers, major gift officers, and/or foundations and corporate relations officers.) Examples of responsibilities are:

  • Drafting letters, proposals and reports to individual donors and foundations.

  • Preparing performance management reports and reviewing them with gift officers.

  • Scheduling and supporting donor and program meetings by producing agendas, briefing documents and minutes/ notes.

  • Documenting donor activity in the database, including emails, phone calls, mailings, estate gift intentions and meetings.

  • Conducting individual prospect research and exploring new foundation leads.

  • Making travel arrangements and managing expense reimbursement processes.

  • Preparing forecasting spreadsheets and updating/entering fundraising plans into the database for gift officers annually and as needed.

  • Providing support to donors interested in creating online fundraising opportunities.
  • Participating in implementation of communication and organizational efforts for the leadership annual giving program.
  • Assist with efforts for donor recognition societies (Mary Belknap Society: donors who make annual unrestricted gifts of $1,000+, and John McLean Society: donors who include McLean in their legacy giving plans.)

Other tasks as assigned: including participating in special events and campaign activities as needed.

Qualifications:

Two or more years of administrative/office experience, preferably in development or a related field. Experience may be volunteer or community-based.

Bachelors degree or equivalent experience required.

Skills/Abilities/Competencies Required

Strong dedication to the mission and programs of McLean Hospital.

Excellent verbal and written communication skills with the ability to listen and express ideas and thoughts effectively.

Warm, professional demeanor; positive and helpful attitude; strong customer service orientation.

Ability to interact positively with a wide range of constituencies in person, via telephone and in writing.

Demonstrated ability to take initiative and work independently, manage multiple priorities, follow through on projects and be proactive and solution-oriented.

Excellent organizational skills and ability to prioritize multiple responsibilities; meticulous attention to detail and good time management skills.

High level of integrity and demonstrated judgment.

Solid computer/office systems skills: fluency with Microsoft Outlook, Word and Excel. Preference for experience with Blackbaud CRM or similar database.

Ability to work as part of a highly efficient team in a fast-paced, collegial atmosphere.

Basic computer skills to use a variety of electronic or online systems for communication, clinical and administrative purposes.
