Job DetailsLevel Experienced Job Location Girl Scouts of Southern Nevada - Las Vegas, NV Position Type Full Time Salary Range $20.00 Hourly Job Shift Day Job Category Admin - Clerical Job Summary In partnership with the Director of Development, the Development Coordinator will play a critical role in supporting GSSNV's development and fundraising efforts. The Development Coordinator's key role requires a highly organized, creative, detail-oriented, and motivated individual to support event planning and revenue generation. Responsibilities include supporting the Development Department with event management, sponsorship acquisition, grant acquisition, donor cultivation and retention, and data entry. This unique opportunity is ideal for someone interested in gaining development experience and strengthening their event-planning and donor cultivation skills in an entry-to-mid level role. ESSENTIAL DUTIES & RESPONSIBILITIES 1. DATA ENTRY AND DONATION PROCESSING
- Primary point person for updating, adding, and maintaining donor, member, and prospect constituent records in the database.
- With Finance Department, responsible for gift entry process.
- Uploads online transactions (sign ups, profile updates, donations, memberships, and event registrations) from online giving systems.
- Assist with creation of donor lists and other gift queries and reports.
- Manages the gala sales reconciliation and sales reports to CFO.
- Filing all donation-related paperwork and maintaining organized filing systems and binders.
2. DONOR RELATIONS
- Manage donation acknowledgement process (sending thank you notes and special processing).
- Answer phone and email inquiries regarding donations and events information.
- Tracking and reporting on contributions.
3. BUDGET TRACKING and CHECK REQUESTS
- Create, route and file accounts payable check requests.
- Track department expenses in budget monitoring system.
- Assist Chief of Development/ Director of Development and project staff with budget reconciliation.
4. MAILINGS & MAIL LIST MAINTENANCE
- Perform database maintenance and cleanup projects to assure data integrity and database performance.
- Perform mail merges and assist with solicitation and other department mailings.
- Post mailings or work with mail house or volunteers to ensure time sensitive mailings are sent.
5. EVENT PLANNING & COORDINATION
- Support fundraising campaign/event coordination and logistics, volunteer management (e.g., DESERT BEFORE DINNER) including deliveries, event set-up & tear-down, assisting with mailings, phone inquiries, in-kind gift tracking and other clerical duties as designated. Attendance at Special Events is required and may require evening/overnight or weekend work.
- Acts as the liaison between the Chief of Development/ Director of Development and event sponsors, donors, venue contacts, vendor contacts, event volunteers, and community partners.
- Assist the Chief of Development/ Director of Development with various committees (e.g., event committee, and development committee). Attend meetings and record meeting minutes.
- Assist the Director of Development with grant strategy implementation and progress reports, attend grant meetings and record meeting minutes.
- Collaborates with Marketing Department in producing event publications and communications, and meeting with community partners.
6. Maintain Government identifiers, certifications, or other reporting structures in SAM (System for Award Management), Federal agencies, State of Nevada and possibly State of California. 7. Attend and participate in team meetings and other all-staff meetings and events. 8. Other duties as directed and required. - Bachelor's degree or equivalent experience
- Minimum 2 years of successful experience in full time administrative/coordination position preferably in Fundraising/Development Office, working with a Board of Directors committee.
- Excellent, effective English language abilities, both oral and written
- A passion for and commitment to the Girl Scout Mission.
- Demonstrates high-level proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), internet browser, and CRM software (SmartSheet, Adobe Acrobat Pro, Apple Pages, and Salesforce). Prior Experience with Donor Perfect, OneCause, or other Fundraising Database preferred.
- A self-starter and problem solver with the ability to take initiative and work independently. Ability to be quickly trained on new software and platforms.
- Excellent people skills, friendly and professional customer interaction etiquette (face-to-face, over the phone, and through email)
- Demonstrates ability in document preparation, proof reading, and editing - accuracy and sharp attention to detail is a key aspect of this position.
- Ability to multitask, work independently or as a collaborator behind-the-scenes to make sure the Development department, organization, and gala committee members are set up for success.
- Strong sense of urgency works well with short turnaround deadlines, able to jump in and adapt to any situation, possesses a positive and proactive attitude and initiative.
- Confidentiality is critical due to handling sensitive information related to finances of donors.
- Ability to work independently and prioritize work while managing multiple deadlines.
- Proven capability to work in a collaborative, service-focused environment.
- Demonstrably strong analytical skills, as well as problem-solving and conflict management capabilities
- A demonstrably clear understanding of fund development and special event practices in carrying out duties with a high degree of confidentiality.
- Ability to relate to top community leaders and diverse groups of people from all social and economic segments of the community.
- Ability to create interpretive materials to enable potential donors to understand Girl Scouts and how they contribute to the achievement of its mission.
- Valid Driver's License and Girl Scouts membership required.
- Work Monday to Friday during office hours and occasional nights, weekends, and/or holidays as required - often times at the last minute or with short notice.
- Must be able to frequently lift and/or move up to 10 pounds and occasionally lift, move, and/or carry up to 30 pounds; and stand or walk for extended periods of time.
- Must have personal transportation and ability to drive, possess a valid driver's license, maintain personal auto insurance, and meet the council insurance company's requirements for coverage.
WORK ENVIRONMENT This job functions primarily out of Council's headquarterswhich provides an environment as follows, professional workspace, along with a retail shop, front desk, training center and warehouse.
