Job Description:

Director of Accounts Payable - Healthcare/Nursing Home Spring Valley, NY $120,000 DOE The Director of Accounts Payable will oversee and manage the accounts payable department for a nursing home group, ensuring that all financial obligations are met promptly and accurately. This role is critical in maintaining smooth operations and compliance with healthcare regulations. The Director will work closely with the CFO, department heads, and vendors to optimize payment processes, ensure accurate financial reporting, and implement strategic initiatives to improve efficiency. Responsibilities:

  • Leadership and Management:
  • Lead and manage the Accounts Payable (AP) team, providing guidance, mentoring, and performance evaluations.
  • Develop and maintain policies and procedures to ensure accuracy, efficiency, and timeliness in the AP process.
  • Collaborate with the finance team to streamline workflows and improve overall department performance.
  • Accounts Payable Operations:
  • Oversee daily operations of the AP department, including invoice processing, payment disbursements, and vendor relations.
  • Ensure timely payment of all vendors and service providers, while maintaining strong internal controls and compliance.
  • Monitor AP aging reports and ensure that invoices are processed within agreed-upon terms to optimize cash flow.
  • Review and approve large or high-risk payments, ensuring compliance with company policies and financial regulations.
  • Vendor Management:
  • Develop and maintain strong relationships with vendors to negotiate favorable terms, resolve disputes, and ensure consistent communication.
  • Oversee vendor records, including W-9s and 1099s, ensuring that all documentation is current and compliant with regulatory requirements.
  • Financial Reporting & Analysis:
  • Ensure accurate and timely recording of AP transactions in the general ledger.
  • Prepare and present monthly, quarterly, and annual reports related to AP activities to senior management.
  • Assist in financial audits by providing necessary AP documentation and reports.
  • Compliance & Risk Management:
  • Ensure compliance with federal, state, and local regulations, including tax reporting, healthcare-specific regulations, and other applicable laws.
  • Monitor and manage potential risks within the AP process, identifying areas for improvement to minimize errors, fraud, and inefficiencies.
  • Technology & Process Improvement:
  • Identify opportunities to automate and enhance AP processes, leveraging accounting software and other technology tools.
  • Implement best practices in AP to drive continuous improvement and operational excellence.
  • Collaboration with Other Departments:
  • Work closely with other departments, including procurement, payroll, and general accounting, to ensure proper flow of information and coordination.
Qualifications:
  • Education:
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field required.
  • CPA or related certification preferred.
  • Experience:
  • 5-10 years of experience in accounts payable management, preferably within the healthcare or nursing home industry.
  • Proven leadership experience managing an AP team.
  • Strong knowledge of healthcare-specific regulations, including Medicaid/Medicare billing and compliance, is preferred.
  • Skills:
  • Strong financial acumen and understanding of GAAP (Generally Accepted Accounting Principles).
  • Proficiency in accounting software, ERP systems (e.g., QuickBooks, Oracle, SAP), and Microsoft Excel.
  • Excellent communication and interpersonal skills.
  • Strong analytical skills and attention to detail.
  • Ability to work in a fast-paced environment and handle multiple priorities.
  • Proven ability to lead process improvement initiatives and drive operational efficiencies.
