DescriptionPOSITION SUMMARY: The Director of Administrative Services is accountable for the operations, including local HR functions of summer and part time staff, of the Camp Sea Gull, Camp Seafarer and joint office functions year round. In addition, they are responsible for ensuring successful execution of all deadlines, high quality customer service interactions, as well as coordination with Association departments to ensure best practices are followed. They are responsible for managing these functions in accordance with the stated mission, goals, and policies established by the administrative staff, governing committees, and Board of Directors of the YMCA. ESSENTIAL FUNCTIONS:
- Actively place the Mission of the YMCA of the Triangle Area into action by fostering positive and productive relationships with camp staff, participants and community representatives while supporting a broader focus for meeting the strategic objectives of the Association.
- Recruits and hires diverse staff and volunteer teams across multiple dimensions of diversity. Responsible for onboarding and developing them for success.
- Understands all resident camp program offerings, business policies and procedures, financial functionality, and online business necessary to manage day to day office functions while ensuring high quality experiences for all customers.
- Establishes and maintains strong collaborative relationships with Association business, IT and customer service departments to ensure best business practices for the camp offices.
- Supervises two Administrative Site Directors, therefore giving leadership, providing strategy, ensuring quality and setting goals with deadlines in all areas of day-to-day office functions which includes:
- Manages all support services related to camper program registrations and associated correspondence, including acceptance, waitlist and cancellation letters, camper form communication, program mailing, last letter home mailings, Opening Day letters, etc.
- Camper Certificate process
- Summer office staffing, scheduling and management
- Summer special transportation management including luggage shipping
- Camper forms review processes and printing
- Supervises two HR Specialist therefore establishes consistency in hiring needs and processes across all seasons, programs and camp sites.
- In conjunction with the YMCA of The Triangle Area Human Resources Department , HR Specialists and the overnight Camp Directors of Staffing, develops systems and processes for the recruitment cycle to include, job postings, interview set up, hiring, onboarding, changes in contracts and terminations of staff.
- Properly uses Personify software to complete orders that include resident camping programs, family camps and summer day camp, program registrations and product set up.
- Other duties as assigned by supervisor.
QUALIFICATIONS:
- Bachelor's degree from an accredited college or university preferred.
- A minimum of 2 years of proven experience leading and managing personnel.
- Organizational skills appropriate for managing multiple functions within the camp business office.
- Strong interpersonal skills; able to work collaboratively within and across Camps, Customer Service Center.
- Strong communication skills, both oral and written and ability to educate and supervise others in performance of their tasks.
- Strong computer literacy and comfort with a variety of software and programs including, but not limited to: Microsoft Office Online (Word, Excel, PowerPoint, OneDrive, Teams, etc), Personify, Kronos Workforce (KENY), Emma.

- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
