Job Responsibilities

Under the general direction of the Vice President of Mission Services, this position collaborates as a partner for program areas on proposal development, budgeting, and setting financial and strategic priorities. Responsible for the fiscal and compliance reporting across Mission Services and ensures adherence to grants, contracts, and data compliance. Supervise, train, and develop staff.

As Director of Grants and Contracts Compliance, you will:

  • Ensure accurate and timely accounting, communications, reporting, and invoicing for all grants and contracts to ensure optimum use of funding, prompt collections of receivables and accurate recognition of revenue.
  • Determine the financial and compliance structures for all grant activities to track and document contract balances, expenditures, and timelines.
  • Manage subcontractor and subgrantee agreements, workflows, and processes.
  • Review vendor contracts for compliance, and ensure payments comply with funder requirements.
  • Partner with Finance and Senior Leadership Team in budgeting, analysis, and strategic planning for Mission Services grants and contracts.
  • Partner with General Counsel and Mission Services Management to review funding proposals and ensure compliance with active grants/contracts.
  • Collaborate with program staff to develop proposals, identify sources for matching funds, and maximize the use of funding from multiple sources.
  • Develop and maintain effective working relationships with internal colleagues and external partners.
  • Design, administer, and maintain program management databases (CaseWorthy and Clarity HMIS), dashboards, forms, templates, reports, and data structure; oversee quality control of data entry.
  • Produce internal data summaries, reports, coding verifications, grant statistics, and demographic reports, as needed, for the Board of Directors, Program Areas, and Senior Leadership Team.
  • Conduct internal audits and quality checks of data summaries and reports produced by other staff for internal and external purposes to ensure grants data is reported accurately.
  • Develop and maintain policies, procedures, and guidelines and provide relevant training as needed internally.
  • Lead and monitor CARF International accreditation process for Mission Services and GWSV.
  • Perform other job-related duties and responsibilities as assigned.
Preferred Qualifications/Experience
  • 5+ years related experience in non-profit accounting or grant administration demonstrating through experience and knowledge of cost accounting, financial management systems, GAAP, and Federal Uniform Administrative Requirements (OMB CFR-200).
  • California State and Federal grant experience, including managing complex grants and contracts from conception to conclusion. Demonstrated ability to navigate public funding's various systems for proposal and payment processing.
  • Strong oral/written communication, listening, and interpersonal skills to effectively collaborate with others and influence budget decisions.
  • Experience training and developing practical skills in others.
  • Demonstrated ability to lead, collaborate, and communicate effectively at all levels of the organization.
  • Must be self-motivated, resourceful, results-oriented, and able to manage multiple tasks with conflicting priorities and deadlines.
  • Demonstrated ability to solve problems and bottlenecks. Track record of sound judgement, with ability to both anticipate and communicate the business and financial implications of decisions made.
  • Experience with DOMO, Power BI, Tableau, NetSuite (or similar budgeting and financial management software), MineralTree, and accounting automation tools (bots). Proficient with MS Office with intermediate to advanced proficiency in Excel preferred, i.e., pivot tables, macros, automation, and vlookups.
  • Bachelor's degree in accounting, a related field, or equivalent experience.
Equipment Used
  • Computer, telephone, copy and FAX machines. Zoom and G-Suite experience preferred.
Working Conditions
  • Works in an office environment.
  • Works a standard workweek with occasional evenings and/or weekends.
  • Occasional local travel to GWSV's retail stores.
Emotional Effort
  • Moderate: Occasional short deadlines. The work environment is occasionally hectic with occasional high activity, with great emphasis on teamwork.
Physical Requirements

The job involves sedentary work which requires lifting no more than 10 lbs and/or occasional lifting and carrying items such as file folders, ledgers, and small tools. Much of the work is done while seated; occasional periods of time are spent standing up or walking. The position may entail lifting and carrying items which weigh up to 25lbs.
