Job Description:
This role will require being the primary liaison with funding agencies on fiscal matters, manage the contract voucher process, and support annual budget preparation. This role requires strong nonprofit experience with a focuson city funding, billing/vouchering for services, and expertise with key grant portal systems like PASSport, GrantsGateway, VIPS, and HHS Accelerator.Client DetailsMy client is a nonprofit organization based in Brooklyn. They are looking for a Director of Grants that can join the team on a consultative business; this role has likelihood of converting permanent, and will allow you to work in a hybrid capacity. DescriptionInternal Liaison:
  • Collaborate with the CFO and finance team on the preparation of the agency's annual budget.
  • Partner with department leaders to prepare, manage, and monitor budgets throughout the year, including monthly budget reviews and proposing modifications.
  • Track and ensure grant compliance, coordinating with grants management staff to adhere to guidelines.
  • Oversee contract close-outs, extensions, renewals, and modifications to meet programmatic and fiscal requirements.
  • Prepare and coordinate internal audits, ensuring programmatic and financial alignment.External Liaison:
    • Serve as the primary point of contact for auditors and funding agencies during audits, including document preparation, on-site participation, and follow-ups.
    • Manage submissions, uploads, and amendments within government grant portal systems such as PASSport, GrantsGateway, VIPS, and HHS Accelerator.
    • Track contract mandates, deliverables, and receivables to ensure compliance and timely reimbursements.
    • Oversee contract amendments, budget modifications, and ensure timely submission of documentation.
    • Liaise with the agency's General Counsel for timely review and submission of contracts and amendments.
    • Ensure adherence to procurement, governance rules, and regulations, including New York City Charter compliance.
    • Manage post-award activities: compliance monitoring, grant projections, invoice preparation, payment processing, and grant closures.Strategic and Administrative Duties:
      • Support revenue recognition, pricing, bidding policies, and broader financial compliance in coordination with Finance and Programs teams.
      • Identify process improvements in grants and contract reporting procedures.
      • Participate in procurement planning and problem-solving to streamline processes.
      • Perform other duties as assigned by the CFO.Profile
        • Bachelor's Degree in Accounting, Finance, or a related field.
        • 5-7 years of experience in nonprofit contract management, specifically with city funding (90% of funding sources).
        • Strong understanding of government grants management and multi-funder compliance requirements.
        • Experience with billing and vouchering for services.
        • Familiarity with government grant portals: PASSport (required), GrantsGateway, VIPS, HHS Accelerator.
        • Proficiency in Sage Intacct or similar nonprofit ERP systems.
        • Advanced Excel skills including Pivot Tables and data analysis.
        • Strong financial analysis skills, attention to detail, and organizational abilities.
        • Demonstrated ability to meet deadlines, manage multiple tasks, and exercise sound judgment.
        • Excellent verbal and written communication skills.
        • Ability to maintain accurate records, archives, and reporting documentation.
        • Experience working with New York City and State agencies preferred.Job Offer
