As the Fleet Manager at Sweetie Boy Transportation, you will be responsible for the oversight, safety, and efficiency of our fleet. This includes managing vehicle maintenance, coordinating with dispatch, ensuring compliance with DOT regulations, and promoting a positive, safety-focused work culture. The role will require effective communication with drivers, shop teams, and other departments to ensure smooth operations and minimal downtime.
Key Responsibilities:
- Fleet Safety & Compliance:
- Manage fleet operations in alignment with SBT's safety program. Enforce safety metrics such as tire pressure and distracted driving (#PUTYOURPHONEDOWN).
- Coach and train drivers, offering support and feedback on safety-related matters. Ensure all drivers are following the 3 C's: Communication, Courtesy, and Compliance.
- Follow up on Samsara and Fleetio alerts, ensuring timely resolution of maintenance issues and repairs.
- Monitor daily fleet maintenance alerts and maintain up-to-date records for all vehicles, including steering replacements, trailer and truck brakes, DEF cleaning, and other preventive measures.
- Ensure DOT checklist completion for each truck that enters the shop for preventative maintenance (PM).
- Maintain fleet compliance with DOT regulations, including managing truck files, auditing scale tickets, and overseeing yearly fleet renewals.
- Shop & Maintenance Management:
- Oversee shop staff and manage technician time to ensure efficiency. Approve overtime and ensure proper lunch breaks are taken off the clock.
- Maintain accurate inventory records, ordering parts in bulk and ensuring cost-effective sourcing.
- Coordinate external repairs, obtaining written estimates before authorization and ensuring that drivers are supported during downtime (e.g., meals, hotels).
- Supervise the cleanliness and organization of the shop area to ensure a safe and efficient working environment.
- Communication & Driver Relations:
- Build strong relationships with drivers, ensuring their satisfaction and buy-in regarding fleet operations and safety protocols.
- Hold weekly check-ins with drivers to discuss truck performance, issues, and focus areas.
- Serve as the primary point of contact for breakdowns and assist drivers in managing these situations, including coordinating support and repairs.
- Lead weekly meetings with the shop team to review operational trends, discuss driver feedback, and ensure that safety and maintenance priorities are being met.
- Maintenance Tracking & Documentation:
- Enforce strict adherence to preventative maintenance (PM) schedules, ensuring that no overages occur.
- Maintain detailed truck files, recording repair history, tread depths, and other critical metrics.
- Ensure that all internal and external repair orders (ROs) are properly documented, including approval for any repairs over $500.
- Track fleet maintenance costs, set and manage budget goals, and conduct price comparisons to optimize repairs and services.
- Fleet Appearance & Equipment Standards:
- Ensure that all trucks maintain a professional visual appearance that reflects SBT's brand and commitment to quality.
- Hold drivers and shop staff accountable for maintaining the cleanliness and appearance of vehicles (e.g., no clutter, proper tire pressure decals, and hub covers).
- Additional Responsibilities:
- Be on call for after-hours issues, including nights and rotating weekends.
- Oversee all aspects of truck inventory and ensure accurate tracking in Fleetio.
- Foster an innovative culture within the team, constantly seeking ways to improve processes and operational efficiency.
Qualifications:
- A minimum of 5 years of relevant experience in fleet management or a related role.
- Must be based in or willing to relocate to Richmond, VA.
- Strong background in managing a fleet, maintenance programs, and safety protocols.
- Proficient in using fleet management software (e.g., Samsara, Fleetio) and other relevant tools.
- Experience with DOT regulations and ensuring fleet compliance.
- Strong leadership and coaching skills, with a focus on team development and driver engagement.
- Excellent communication skills and the ability to work effectively with both drivers and shop teams.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- A proactive, solutions-oriented mindset with a commitment to innovation and continuous improvement.
- Must be willing to work on-call nights and weekends on a rotating basis.
