Job Summary:

The Director of Operations is responsible for overseeing the day-to-day administrative and operational functions of Provive Wellness. This role ensures that all operational, regulatory, and clinical practices are in compliance with state and federal guidelines, while also striving for operational efficiency and excellence in patient care. The Director works closely with clinical teams, executive leadership, and support staff to optimize service delivery and implement strategic goals.

Key Responsibilities:

  • Operational Management:
    • Oversee daily operations to ensure efficient workflow, timely service delivery, and high-quality patient care.
    • Manage the scheduling and performance of non-clinical staff, including admissions, administrative, and facility management teams.
    • Develop, implement, and monitor operational policies, procedures, and systems to enhance operational efficiency.
  • Compliance & Regulatory Standards:
    • Ensure the center is compliant with all federal, state, and local regulations, including HIPAA, Joint Commission, and Pennsylvania Department of Health standards.
    • Collaborate with compliance officers to implement internal audits and quality improvement initiatives.
    • Maintain licensure and certification renewals for the facility and staff, staying updated on evolving industry standards.
  • Financial Oversight:
    • Assist in developing and managing the operational budget in alignment with financial goals and resources.
    • Monitor financial performance indicators, including expenses, revenue, and profitability.
    • Work with the billing department to streamline billing practices and ensure timely reimbursement for services rendered.
  • Team Leadership:
    • Provide leadership and support to administrative and operational staff, promoting a positive and productive work environment.
    • Facilitate training and professional development opportunities for team members.
    • Act as a liaison between clinical teams, administrative staff, and senior management to align operations with the centers mission and goals.
  • Strategic Planning & Growth:
    • Partner with senior leadership in setting long-term strategic goals for the treatment center, including service expansion, operational improvements, and program development.
    • Evaluate and recommend new technologies, processes, or resources to improve patient care and operational efficiency.
    • Monitor industry trends and emerging practices to ensure the center remains competitive and innovative in service delivery.
  • Client Relations:
    • Ensure the highest level of patient satisfaction by improving processes related to admissions, patient intake, and client care coordination.
    • Address client and family concerns, ensuring swift and effective resolution.
  • Facilities Management:
    • Oversee maintenance, safety, and functionality of the facility, ensuring a secure and therapeutic environment for both patients and staff.
    • Work with vendors and contractors to manage building maintenance, renovations, and equipment upgrades.

    Qualifications:

    • Education: Bachelors degree in healthcare administration, business management, or a related field required. Masters degree preferred.
    • Experience: Minimum of 5-7 years of operations management experience, preferably in a healthcare or behavioral health setting.
    • Knowledge & Skills:
      • Strong knowledge of behavioral health regulations, including Pennsylvania-specific guidelines.
      • Proven ability to lead and manage multidisciplinary teams.
      • Strong analytical skills with experience in budgeting, financial management, and resource allocation.
      • Familiarity with healthcare accreditation standards such as CARF or Joint Commission.
      • Exceptional communication and problem-solving skills.

    Preferred Certifications:

    • Certification in Healthcare Management (e.g., Certified Healthcare Administrative Professional - CHAP) or Lean Six Sigma is a plus.
