Director of OperationsPrimary Care Development Corporation (PCDC): Catalyzing Excellence in Primary Care Quality primary care is transformative and a cornerstone of healthy, thriving communities. PCDC, a nationally recognized 501(c)(3) community development financial institution (CDFI), catalyzes excellence in primary care through strategic community investment, capacity building, and policy initiatives to achieve health equity. Position OverviewThe Director of Operations role is responsible for ensuring that PCDC s daily and overall workplace environment, technology environment, administrative business processes and respective systems are operationally functioning, secure and supporting PCDC s organizational priorities and business objectives. The Director brings a thorough understanding of the requirements regarding administrative functions and office space needs (virtual, leased, remote, etc.). This individual will develop and maintain strong relationships with key stakeholders (internal and external), possess operations management skills with the ability to simultaneously oversee multiple projects and processes, make decisions and own the impact of the decisions. This is a strategic thinking and proficient executing role. The position reports to the CEO and partners with leaders to align operational strategies with overall business objectives. Job Responsibilities:
  • Facilities and Office Management
    • Oversee PCDC s corporate office work environment ensuring smooth office functioning, efficient resource management, landlord relationship management and lease adherence.
    • Ensure that office systems and workflow processes enhance and sustain overall workplace productivity, risk mitigation, cost management.
    • Facilities management: Space planning and maintenance, and supporting off-site events as required.
    • Monitor and respond to matters impacting remote and leased office and shared workspaces.
    • Identify appropriate equipment/ supply inventory levels; establish par levels and ensure timely maintenance.
    • Plan and oversee projects such as office moves, renovations and the implementation of new operational systems or procedures (e.g., emergency preparedness planning/ plans, workplace safety).
    • Ensure compliance with applicable public health, building and safety requirements.
  • Information Technology (IT)
    • Serve as resident IT lead of PCDC s technology stack (hardware and core software, Microsoft 365, components, framework, infrastructure) ensuring that changing operational needs are anticipated and addressed.
    • Ensure that IT systems and workflow processes enhance and sustain overall workplace productivity, risk mitigation, cost management and reductions. Lead and/or support development and implementation of additional corporate systems and integration as needed.
    • Oversee IT vendors; review and evaluate the efficiency of IT systems ensuring relevant SOPs are in place and the technology environment is optimally functioning.
    • Plan IT contract renewal and RFP process.
    • Plan and review hardware and software purchasing and upgrades.
    • Stay informed about emerging technology and industry trends determining which are relevant and sustainable for PCDC business needs.
  • Administration
    • Lead and manage the organization s portfolio of property and casualty insurance policies (D&O, employment practices, etc.) ensuring that lines of coverage are in place and respond to PCDC s changing business needs and objectives.
    • Management of property and casualty insurance renewals, reporting relevant incidents to broker and respective carrier; tracking certificates of insurance, and evaluating broker productivity.
    • Hire, supervise and train administrative/ office staff to ensure an effective and integrated administrative team.
    • Review, triage and/or coordinate contract or other legal review requests with legal resources; obtain insurance certificates for contracts as needed.
    • Partner with Finance unit ensuring that PCDC multi-state registrations remain current and in compliance with state-specific regulations.
    • Manage PCDC s budget for administrative expenses, including forecasting, allocation and monitoring of funds.
    • Ensure that emergency preparedness, cybersecurity, and disaster recovery plans are regularly tested, updated and ready for deployment as needed.
    • Oversee and manage special projects as assigned.

  • Bachelor s degree required; Masters degree preferred.
  • At least five (5) years demonstrated experience in a managerial capacity; leading and managing teams preferred.
  • A minimum of three (3) years of operations with IT and project management experience taking initiatives from conception to completion.
  • A minimum of five (5) years of progressively responsive work experience in leadership, involving strategy execution, program management and/or business operations.
  • Excellent written and verbal communication skills; highly insightful with ability to adapt to different communication styles and contexts.
  • Reasoning skills: Able to analyze information, problems, situations, practices or procedures to define the problem or objective.
    • Identify relevant concerns or factors, patterns, tendencies and relationships.
    • Formulate logical and objective conclusions and recognize alternatives and their implications.
  • Proficiency in MS Office and other standard computer programs including relevant software and technology tools for communication, project management and data analysis.
  • Demonstrated experience managing confidential and sensitive information with sound judgement, humility, and professionalism.
  • A self-starter; highly organized, meticulous with strong time-management skills.
