- Uses TIROC approach to supervise the Practice Managers and Department Practice Managers. Provide support to the sites and provides indirect supervision of the Assistant Practice Managers and Front Desk Supervisors.
- Maintains operations staff by recruiting, selecting, orienting and training operations personnel at assigned site and supports these efforts at the other sites as possible.
- Develops, maintains and holds Practice Manager's staff accountable to training protocols for all positions within the Front Desk department.
- Responsible for overseeing the timely initiation and thorough completion of all patient complaints and event reports for all sites including handling of patient complaints, incident reports and de-escalation of concerning situations. Assures that remediation measures when necessary have been completed.
- Develops and maintains knowledge of New York State Article 28 regulations and Federally Qualified Health Center (FQHC) standards.
- Functions as the site Manager On Duty (MOD), able to complete all the tasks of MOD, train new managers to the role of MOD and support assignments of monthly coverage calendar for MOD. (MOD responsibilities attached separately)
- Leads the Practice Manager's in assuring access at each site meets the needs of the patients, including chairing the Access Committee. Works with Access Committee to address patient access concerns, and timely review of time cycle, third next available and patient satisfaction.
- Assists in the development of procedures and policies related to accountabilities, and is directly responsible for the development and maintenance of all from desk policies
- Assures compliance with OSHA, NYS DOH, and other governing body regulations.
- Other duties as assigned.
Requirements:
- Bachelor's degree required; Master's degree preferred.
- Outpatient clinic operations experience required; FQHC or similar experience preferred
- Three years of direct staff supervision required; management experience preferred
- Must be able to read, write and speak the English language.A second language of Spanish preferred.
