  • Computer experience in word processing, database, and spreadsheet

  • QUALIFICATIONS: Minimum of a high school diploma or its equivalent & skills for the successful performance of the tasks assigned.REPORTS TO: Superintendent and Assistant SuperintendentJOB GOAL: To work with supervisors, staff, students, and parents to facilitate a smooth, positive operation of the school facilities.REQUIRED PERFORMANCE RESPONSIBILITIES:
  • Take phone calls and messages, screen calls for administrators, and assist walk-in visitors and employees. Open and sort mail.

    • Maintain personnel records in:

    • Maintain Time Clock records
    • Maintain Absences and Substitute records
    • Maintain payroll records
    • Maintain comp time
    • Maintain new hire paperwork
      • Payroll forms
      • Profile
      • Applications
    • Maintain security of background checks
    • Meet and maintain eligibility standards set by MACHS
    • Complete bi-yearly audit
    • Maintain retired teacher requirements
  • Reports/Records:
    • Retirement reports EWP
      • GASB 68
      • Monthly Payroll Admission
    • Salary advancement records for certified staff
      • Transcripts
    • Annual contracts and letters of employment
      • Employee Records
    • Health insurance
      • Meet with building staff during open enrollment
      • Send all change forms to insurance company
      • Enter insurance changes in SISFin
      • Ensure insurance site is updated with new hires, terminations and retirees
    • Track employee docked days for long term leave
      • Keep updated spreadsheet
      • Enter in SISFin
    • FLMA
      • Complete appropriate forms for employee
      • Maintain records and leave eligibility
    • Workers' compensation claims
      • Communicate with Gallagher Bassett
      • Report to MUSIC online
      • Follow up with long-term claims
      • Track and file paperwork
    • Process employee W-2 and submit W-2 and W-3 reports to IRS
    • Various annual surveys
    • Quarterly reports
      • Federal 941
      • MO Multiple Worksite Supplement
      • SDAC reports to Special Ed secretary
      • MO State unemployment report
  • Financial Records
    • Reconcile bank statements
    • Process monthly DESE payments
    • Make deposits, record receipts, and maintain records
    • Maintain adequate bank balances
      • Make transfers between accounts when necessary
    • Garnishments
      • Notify employee
      • Process garnishment
        • Interrogatories (if necessary)
        • Submit withheld earnings
    • Process monthly payroll
      • Balance to monthly spreadsheet
      • Submit monthly payroll federal and state taxes
      • Balance insurance invoice to payroll deductions
      • Process the retirement contributions
      • Monthly contributions for 403(b) & 457
      • Submit monthly payroll statistics to the US Bureau of Labor Statistics online
  • Other duties assigned by the Superintendent or Assistant Superintendent.
  • TERMS OF EMPLOYMENT: Twelve month position. Salary to be established by the Board of Education.EVALUATION:Each employee will be evaluated by his/her supervisor(s) on a regular basis according to evaluation procedures established by the Board of Education. Evaluations will be based on general expectations for all employees, and the specific responsibilities of the position being evaluated.PHYSICAL, MENTAL AND VISUAL DEMANDS: While performing the duties of this job, the employee is frequently required to stand, walk and sit. Additionally, the employee may occasionally be required to push or lift up to 25 lbs. as necessary for the safety and well-being of others.
