Job Description:
General Purpose:The Director of Real Estate & Office Operations develops, implements and administers programs and policies, and supervises personnel required to provide operations support to a multi-office private law practice.Essential Duties/Responsibilities:
  • Develops and manages Office Services support within the Denver office. Coordinates the strategy and initiatives and works through escalated issues and concerns in coordination with the Office Managers for Office Services and Real Estate.
  • Manages Denver Office Services department personnel and location-based Office Managers, including partnering with Human Resources on hiring/termination decisions, and performance management and coaching. Responsible for ensuring training and workflow efficiency and best practices across firm locations.
  • Oversees expense budgets for the Office Services support functions and occupancy related expenses within each office.
  • Works closely with COO and Construction and Facilities Manager on lease negotiation, architect and furniture services.
  • Develops and maintains knowledge of the commercial marketplace for procurement of equipment and supplies.
  • Evaluates and makes recommendations on equipment available for purchase, rent or lease.
  • Exercises ultimate oversight for the following areas in each of the firm's offices:
    • Mail
    • Internal and External Messengers
    • PBX (Telephone/Communications)
    • Reception
    • Purchasing/Supply
    • Housekeeping/Janitorial services
    • Physical security
    • Copy Imaging Services
    • Office Moves, Furniture and Equipment
    • Conference Facilities
    • Printer Maintenance
    • Facsimile
    • Workroom assignments
    • Recycling
    • Maintenance back up
    • Disaster/Contingency Planning
    • Attorney Relocation Services
    • Space Planning
    • Office Relocations
  • As needed, acts as liaison with the landlord on tenant matters in the Denver office.
  • Handles special projects assigned by the Managing Partner and COO.
  • Works with regional Office Managers to manage and budget for capital expenditures related to non-computer equipment and Leasehold Improvements.
  • Negotiates contracts on behalf of the firm to leverage pricing for all offices including office supplies, copy and print equipment and furniture.
  • Acts as primary contact with firm's travel agency, addressing concerns, overseeing provision of services, and drafting proposed firmwide communications regarding travel services.
  • In Denver, assists Human Resources and RPD with new hire onboarding as requested. Ensures orientation of employees aligns with firm-wide orientation program and experience.
  • In Denver, works closely with Administrative Partner to implement office-wide initiatives and social events.
  • Escalates HR issues and concerns to appropriate Human Resources representative or Director of Human Resources.
  • Proposes and implements firmwide sustainability and environmental policies and practices appropriate in the professional services industry. Works with Client Services and the Office of General Counsel to review any client RFP and billing requirements related to environmental and physical operational issues.
  • Working with Human Resources, Recruiting and Professional Development, Office Services, and the Office Managers, in each case as appropriate, recommends and oversees certain social events, office amenities, and employee parking options.

Supervisory Duties (if applicable):The Director of Real Estate & Office Operations will lead a team of Office Managers and Office Services Managers, providing team vision and leadership by promoting and building a collaborative, team-oriented culture. Job Qualifications (Education, Experience and Certification):
  • Bachelor's degree or equivalent work experience.
  • 5+ years' experience in the Office Services/Real Estate function; 3+ years as the leader of the department function, including policy decision making and budget authority.
  • Prior experience in supervising a large staff providing multiple functions in multiple locations.
  • Demonstrated ability to cope with pressure and to interact with a variety of personalities at all levels of the organization.
  • Demonstrated skills in oral and written communication.
  • Demonstrated service-first attitude with all customers (internal and external)
  • Demonstrated skills in problem solving and making sound analytical judgments.
  • Requires good computer skills, including proficiency in Windows operating system; Microsoft Word, Excel; Outlook and other Windows' based software.
