POSITION SUMMARY
In this Disbursements Specialist role, you will review and process Request for Disbursements (RFD) and scholarships, ensuring responsible stewardship practices and accurate entry into a workflow/document management system and our accounting system. You will report to the Associate Director of Disbursements and will work alongside a very experienced Disbursements team. You will be responsible for check processing, bank drafts, ACH transfers, monthly Visa reconciliation, and vendor maintenance.
Note that this is a part-time position, working 20 to 25 hours per week.
In this role, you will:
+ Perform an initial review of RFDs and scholarships to ensure compliance with written policies, internal control procedures and turnaround standards, including but not limited to, fund purpose, account codes, fund balances, signatories, and purchasing guidelines. Ensure all necessary documentation pertaining to the request is identified and attached.
+ Upload reviewed RFDs from the workflow/document management system to the General Ledger. Prepare and reconcile accounts payable batches for posting including invoice updates.
+ Perform weekly check runs, weekly EFT's and monthly ACH transfers.
+ Monthly reconciliation of the credit card transaction by exporting the transactions, reviewing all the transactions ensuring all documentation, coding and approvals are complete and then importing the completed credit card excel spreadsheet to the General Ledger.
+ Assist with maintaining the vendor database within the accounts payable module. Assist in obtaining and scanning all required documentation for vendor records, including W-9 and COI forms.
+ Prepare standardized and ad hoc reports for distribution (i.e. monthly potential compensation report and monthly equipment purchased report).
+ Other duties as assigned.

+ Associate Degree or equivalent combination of education and experience.
+ Experience with Accounts Payable preferred.
+ Proficient with Microsoft Office (i.e., Outlook, Word, and Excel). Demonstrated ability to work in multiple system environments.
Salary:
This is a non-exempt, hourly position. The expected rate of pay is $23/hour. It will be commensurate with qualifications and experience, while also placing an emphasis on internal equity.
