Summary:Dispatcher position at Mustang Extreme Environmental Services (MEES) is responsible for planning & dispatching necessary personnel, trucks/equipment, and maintaining accuracy of equipment assigned to dispatch requests. Analyze available resources to ensure the most efficient utilization of available resources and resolve inquiries and discrepancies. Communicates with all levels of management and has a working relationship with other dispatch personnel and all field and yard employees. Responsibilities and Essential Functions:
- Receive job orders from active customers by telephone, e-mail, and/or work order software and actively listen to understand information being received and keep supervisor/manager apprised of all discrepancies relating to customers' orders.
- Analyze job orders to ensure that all relevant information is received, and all documentation is filed according to specifications in a timely manner.
- Create, prioritize, schedule, and manage heavy volume of work orders using Field Service Management Software from creation to distribution to crew leaders and completion. (Ensuring proper job information, materials, equipment, personnel, work hours, and anything needed for job completion)
- Maintain accurate logs for DOT (Drivers logs, DVIRS, vehicle condition/repairs
- Keep timesheets / work orders for all hourly and salaried field and yard personnel
- Maintain contact with all operational management personnel and keep status of jobs updated respectively via voice, text (if necessary/urgent) and at end of day via emailed report.
- Create and maintain current daily log of all work in progress
- Problem solving of any issues in a timely manner as necessary to maximize production
- Prepare, stage, and organize all materials, manpower, travel arrangements, etc. for all upcoming jobs
- Perform all duties in a safe manner in keeping with the Company's strong commitment to employee safety.
- Recommend process improvements as necessary and work with co-workers to implement approved changes.
- Utilize common software programs to prepare reports, e-mails, correspondence, etc.
- Keep other dispatchers updated on utilization of company resources to promote organizational efficiency
Requirements, Knowledge, and Core Competencies:
- One to Two years of experience successfully planning and scheduling resources. One year of experience in an environmental/natural gas/oilfield service, transportation, and/or logistics environment is preferred OR two years of experience in high volume call center or customer service environment that included heavy phone usage and data entry.
- Knowledge of the principles of excellent customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, and/or approaches to problems.
- Ability to listen and understand information and ideas presented through spoken words and sentences, and the ability to communicate information and ideas in speaking so others will understand.
- Ability to read and understand information and ideas presented in writing and the ability to communicate information and ideas in writing so others will understand.
- Ability to read, write, and speak English including the meaning and spelling of words, rules of composition, and grammar.
- Ability to navigate at an advanced level in a Windows® environment to enter data and/or process information. Including above average proficiency in Microsoft Windows, Outlook, Word, and Excel.
- Ability to learn and understand job requirements after initial training.
