Type: Full-Time, Non-ExemptReports to: Dispatch and Shipping ManagerJob Summary: We are seeking a highly organized and self-motivated Dispatch and Shipping Assistant to join our team. In this role, you will assist in managing the workflow between load pullers and truck drivers to meet scheduled commitments. You will also be cross-trained to handle the Dispatch and Shipping Managers responsibilities, excluding physical lumber yard duties.Dispatch Assistant Key Responsibilities:
- Dispatch Coordination:
- Schedule and dispatch drivers to various locations.
- Maintain contact with drivers throughout their shifts and address routing issues.
- Confirm deliveries at customer locations.
- Analyze delivery efficiency and report safety hazards.
- Customer Service:
- Handle delivery issues and scheduling.
- Provide exceptional customer service via phone.
- Assist with returns and coordinate pick-ups.
- Administrative Support:
- Perform data entry and organize paperwork.
- Scan POs to the Accounting Department.
- Assist with inventory management and data entry.
- Safety and Compliance:
- Enforce company safety rules and report any safety hazards.
- Order diesel for machine operations and production supplies.
Dispatch Assistant Skills and Abilities:
- Exceptional customer service and communication skills.
- High level of organizational skills and attention to detail.
- Ability to adapt to a fast-paced environment and handle multiple tasks.
- Proficiency in Microsoft Office Suite and experience with scheduling.
- Ability to learn and understand lumber grades and math within three months.
Experience:
- Entry-level management/supervisory experience (1 year required).
- Administrative experience (2-3 years required).
- Experience in manufacturing processes/systems (preferred).
Dispatch Assistant Qualifications:
- High school diploma or GED required; some college preferred.
- Ability to understand and communicate in English; Spanish is a plus.
Conduct:
- Excellent attendance record, punctual and reliable.
- Positive attitude, team player, and goal oriented.
- Safety-conscious and able to act competently in emergencies.
