DescriptionFabian Oil is currently seeking a full-time dispatcher to help both our service and delivery teams. At Fabian, dispatchers are responsible for scheduling service jobs and fuel deliveries, parts ordering, and ensuring customers' needs are addressed in a timely manner. Duties include working with customers to schedule appointments for service and / or fuel deliveries as well as answering any service or delivery-related questions customers may have. This role will also be responsible for tracking and communicating with service professionals to ensure effective time management. A Dispatcher should expect to perform all the following duties daily:
- Use dispatch software to assign HVAC technicians to service jobs.
- Use our software to design and maintain effective delivery routes.
- Respond to customer telephone calls regarding service or delivery matters.
- Project and forecast deliveries.
- Plan and adjust delivery routes as needed.
- Assist drivers and other staff with tasks as needed.
- Collaborate seamlessly with both our drivers and our maintenance team to promptly address and resolve any truck-related issues.
- Communicate with technicians for updates on job assignments.
- Utilize computer systems to track parts & labor information.
- Secure parts for special orders as needed.
- Maintain contact with customers to keep them informed about the job status.
- Maintain communication with drivers to provide real-time support for truck and route challenges.
- Collaborate directly with technicians to manage parts used and parts returned to ensure warehouse can resupply and stock, as necessary.
- Manage warranty claims for returned parts.
- Ensure HVAC technicians and delivery drivers have access to working technology and report any malfunctions to the helpdesk.
- Assist the Service Coordinator and delivery manager with other tasks, as necessary.
- Calculate job cost estimations for customers.
- Assist the service & delivery teams with other tasks, as necessary.
The ideal candidate for the Dispatcher position should possess and demonstrate professional written, verbal, and interpersonal communication skills. They will have strong analytical, reasoning, and critical thinking skills and be able to effectively manage their as well as other's time. A successful candidate will have the ability to adapt to change, work as part of a team and perform work responsibilities independently. Because a Dispatcher will have access to private customer information, the ability to maintain confidentiality is critical.RequirementsRequirements:
- Basic understanding of entry level computer software.
- Strong problem solving and conflict resolution skills.
- Strong written communication skills.
- Accounting, banking, customer service or management experience preferred but not required.
- Familiarity with digital filing programs.
- Experience with Excel and Outlook or similar programs
- Experience with General Assistance programs preferred.
