Job Title: Dispatcher (Contract Position) Department: Service Reports To: Operations Manager FLSA Status: Exempt, not eligible for OT Location: Louisville, CO Wage Range: $22-26/hr. OVERVIEW: We are adding to our Service Department and are hiring a new Dispatcher to our centralized Dispatching Office in the Louisville office. The Dispatcher provides dispatch coordination and superior administrative support to the Design Mechanical Service department and its customers. DUTIES AND RESPONSIBILITIES:

  • Provide excellent customer service with incoming and outgoing service calls in a high call volume environment
  • Process and book service calls into proprietary systems maintaining a high level of detail and accuracy
  • Maintain the daily dispatch board and coordinate or re-coordinate technician schedules for the following day and week
  • Create work orders with detail information of supplies, tools, and logistics for technicians' schedules, coordinate any technician requests
  • Ensure accurate and timely data entry of customer accounts into the accounting and filing systems
  • Create and maintain new customer account information and file paperwork accordingly
  • Strategic accounts - Coordinate all service calls
  • Support department with various administrative tasks; copying, filing, data entry, monthly departmental meetings, and special projects
  • Complete all billing paperwork for processing including necessary approvals
  • Assist payroll with weekly timecard processing
  • Customer relations - assist with escalated issues, provide repair quotes, send daily work orders when requested, schedule quotes once approved with customers, vendors, and technicians, get the COI
  • Manage customer and technician follow-up calls and emails, correspondence to the corporate strategic account's office
  • Maintain accurate and timely filing system
  • Other tasks as needed of assigned
Qualifications:
  • 3 + years' experience in an administrative or customer service role
  • Ability to handle difficult call situations with professionalism and accuracy
  • Experience working in a fast-paced, sometimes hectic environment with little down-time
  • Strong written and verbal communication skills
  • Proficiency in the Microsoft Office Suite; Word, Outlook, Excel
  • Resourcefulness and strong analytical skills are necessary for success
  • Willingness to learn and be a team player
  • Strong organizational, prioritizing, and problem-solving skills
  • Reliable and dependable
  • High School Diploma or GED required
  • Must be able to pass a pre-employment drug test and background check
