The CEFCO Maintenance Dispatcher reports to the Director, Facilities and performs not only dispatch duties but, a wide variety of clerical duties including invoicing, work orders, requisitions and other documents pertaining to routine and emergency maintenance issues. Dispatch Responsibilities:
- Dispatches maintenance personnel from both the in-house maintenance department as well as, 3rd party vendors to process service requests and ensures resolution of maintenance issues.
- Identifies repair needs to prioritize work assignments and, schedules work assignments.
- Prepares reporting materials (i.e., requisitions, leave reports, memos, work requests, etc.) to document activities.
- Informs site personnel regarding work order status.
- Maintains work order documentation and other files in Titan (work order management system).
- Acts as liaison with 3rd party vendors and companies.
- Researches and reconciles purchase orders.
- Responds to inquiries from operations (store and field) staff, vendors, etc. to resolve maintenance issues and minimize the disruption of services.
General Office Responsibilities:
- Responds to industrial injuries and accidents and ensures that procedures are followed, and related documentation is processed.
- Maintains dispatch office files.
- Assists with physical inventories to verify stock and identify losses.
- Receives and sorts mail.
- Researches and codes all maintenance invoices
- Assists in maintaining the warehouse and dispatch office
- Delegates/assigns out emergency service calls 24/7
- Rotates on-call on weekends and nights, as directed
Qualifications: 1-3 years general office experience; excellent communication skills - both written and verbal; must be detail oriented and possess the ability to multi-task in a fast paced environment; intermediate skills in MS Office specifically Outlook and Excel; strong customer service skills; and, must be available to work weekends and be on-call.
