Typical Hours: Monday–Friday, 8:00 AM to 4:00 PM with an on-call rotation

What You'll Do as Our Dispatcher:

  • Create and manage daily schedules, making logistically sound decisions to address emergency parts and service calls promptly.

  • Set the next day's schedule by 10 AM for confirmation by the Customer Opportunity Specialist.

  • Dispatch and debrief technicians, ensuring invoices and required forms are completed accurately.

  • Monitor and adjust schedules throughout the day to maintain efficiency.

  • Notify customers of technician arrival times, including updates for delays.

  • Handle residential maintenance invoices, including batching, emailing, and finalizing payments.

  • Submit invoices through customer portals when necessary.

  • Ensure accurate material tracking by reconciling usage with the price book or P.O. and updating inventory records.

  • Collaborate with the Service Manager to complete customer quote requests and follow up on quote statuses.

  • Coordinate purchase orders for approved quote parts and update work orders appropriately.

  • Schedule major parts repairs and track vendor lead times to ensure timely completion.

  • Provide the Customer Opportunity Specialist with an updated schedule every two months for maintenance planning.

  • Order and track specialty and commercial maintenance materials, ensuring availability ahead of schedule.

  • Track daily revenue and report metrics to the CEO, CFO, General Manager, and Service Manager.

  • Participate in monthly strategy meetings to align with revenue goals.

  • Manage warranty parts processing and logistics in collaboration with the Warehouse Manager.

  • Assist the General Manager with marketing initiatives and inventory needs as directed.



Requirements for the Dispatcher:

  • Minimum of 2 years of experience in dispatching for HVAC, plumbing, or similar trades.

  • Proficiency with CRM platforms and customer service software is preferred.

  • Strong written and verbal communication for clear, effective problem-solving.

  • Detail-oriented with accurate data entry skills.

  • Empathetic and approachable, able to handle difficult customer situations calmly.

  • Reliable and thrives under pressure, with excellent multitasking abilities.

  • Positive team player eager to learn and grow in a fast-paced environment.

  • A proactive and solution-oriented mindset.
