Medical Services Program ManagerLocation: Jacksonville, FLDirect Supervisor: Medical DirectorJob Purpose:Responsible for providing administrative support in the day-to-day operations of Physicians department,ensuring smooth workflow and efficient patient care. Manages physicians' calendars and schedules andcoordinate patients evaluations and appointment. Serves as a liaison between patients, nurses,physicians, and other departments involved in patient care. Participates in performance improvementactivities.Competencies:•Understands HIPAA and confidentiality laws.•Knowledge of Joint Commission, DCF, State, and Federal regulatory requirements.•Ability to effectively communicate with all levels of organization.•Demonstrates excellent communication and time management skills; proven ability to meetdeadlines.•Demonstrates an ability to be flexible, organized and function under stressful situations.•Ability to maintain patient confidentiality at all times.•Represents the organization in a positive and professional manner.•Demonstrate a working knowledge and/or experience in a utilization management function.•Demonstrate an ability to work effectively in a team environment.Main Duties and Responsibilities:•Supports the daily operations and activity flow of the patient care by performing administrativefunctions and acting as a central source of information for staff, physicians, patients, andfamilies.•Develops NFAM staff schedule that maximizes efficiency and always ensures adequate coverage.•Coordinates and schedules patients' psych evaluations and medical appointments.•Manages and coordinates providers' calendars to ensure optimal performance and appropriatepatient access objectives are consistent with company goals and strategies.•Consults other departments as appropriate to provide for an interdisciplinary approach to thepatient's needs.•Communicate with the UR department as needed regarding need evaluations and ongoingmedical appointments.•Submit information to billing department for the NFAM provided services.•Provides administrative support including opening and disbursing incoming/outgoing mail;composing and editing letters, memos and other correspondence, ordering supplies; preparingand updating presentations and spreadsheets.•Coordinates departmental/administrative meetings, event planning, travel arrangements andprocesses expenses for providers.•Performs performance improvement audits on each medical record as needed by theCompliance Department.•Assists in retrieving medical records for physician completion.•Performs functions of the census as required.•Communicates appropriately and clearly to DONs, Charge Nurses, Nurses, and Physicians.Maintains a good working relationship both within the department and with other departments.•Treats patients/families with respect and dignity; provides emotional support.•Participates in the unit's performance improvement and continuous quality improvement (CQI)activities.•Assists with recruiting efforts including phone screening, orientation, scheduling interviews andtraining schedules.•Notifies staff regarding upcoming mandatory trainings, past due certifications, and othertraining related information.•Manages and submits payroll for physicians group department biweekly. Manages on callschedule.•Performs other duties as assigned.Qualifications:At least four (4) years of administrative experience in a hospital setting. Experience in behavioral health,substance abuse and knowledge of the 12 Step Program are preferred. Must have great interpersonalskills and exceptional organizational and time management skills.Knowledge of federal, state, and local regulations relating to substance abuse programs and knowledge ofJoint Commission and DCF requirements is preferred. Experience and proficiency in Electronic MedicalRecords (EMR) is strongly preferred. Experience and proficiency in MS Office are required. Must haveexcellent written and verbal communication skills.Education:Bachelor's degree in Social Work, Psychology, Business, or related field.
