Summary of Position

The Distribution Assistant is responsible for sustaining consistent flow in and out of the distribution area. This position performs a wide variety of distribution processes to include: distribution of cases to Pathologists, completion of requested shipments, follow-up of Distribution's departmental responsibilities, and other duties as assigned and required following approved Standard Operating Procedures.

Key Job Elements

  • Scans slides into Autoassign. Accurately match slides with paperwork generated by Autoassign, and sort in a timely manner.
  • Maintains pathologist workload by accurately balancing jar counts within Autoassign.
  • Monitors and ensures that the most up-to-date pathologist vacation calendar, pathologist licensing report (obtained from credentialing), Daily Distribution Sheet, and Autoassign are readily available at each station.
  • Delivers all slides to pathologist in a timely manner.
  • E-mails list of STAT cases received by lab to Medical Lab director. Including an estimated time each case will be out of the lab, and in distribution.
  • E-mails client services of pending discrepancy cases in distribution.
  • Images, sorts and delivers all slides received from our IHC department in a timely manner.
  • Receives, verifies, unpacks, and stores supplies in designated work areas within distribution.
  • Communicates when supplies are needed in distribution.
  • Is aware and knowledgeable of sendoff rules when sending cases offsite to other facilities.
  • Notifies other distribution employees of special requests from multiple departments, such as: Pathologists, Accessioning, PA's, and Client services. Also, responsible to complete, and respond to requests in a timely manner.
  • Documents all quality issues within daily distribution worksheet and communicates any quality issue that may arise.
  • Communicates necessary information to PA's and/or Accessioning leads when discrepancies arise.
  • Maintains confidentiality of sensitive information concerning patients, physicians, employees, clients, vendors, and the company.
  • Reports all concerns of test quality and/or patient or employee safety to a Supervisor or Safety Officer.
  • Has a good understanding and working knowledge of Laboratory Information Systems including Autoassign.
Qualifications

Knowledge/Experience

  • High School diploma or equivalent required.
  • Bachelor of Science in biology or related field preferred.
  • Prior experience in the medical field preferred.
  • Demonstrated skills and high level of attention to detail in technical data interpretation and ability to troubleshoot.
  • Proficient in Microsoft Office Suite, specifically Word, Excel, Outlook, and general working knowledge of Internet for business use.
  • Ability to multi-task and work in a fast-paced, deadline driven environment.
  • Visual acuity (including color discrimination) and analytical skill to distinguish fine detail.
  • Manual dexterity to use common laboratory equipment and perform sterile techniques as required.
  • Must possess ability to sit and/or stand for long periods of time.
  • Must possess ability to perform repetitive motion.
  • Ability to lift up to 30 pounds.
