Job Description:

Position Summary:

Event planning as requested

a. Assist with scheduling office events and employee functions as requested. This may include scheduling event spaces, sending invitations, maintaining list of responses, receiving and processing contracts for services, reviewing and finalizing menus , obtaining approvals from Vice President where needed, and attending event to assist or troubleshoot where needed. b. Assist with planning and scheduling of Human Resources volunteer events as requested.

Project SEARCH Business Liaison

a. Serve on Steering Committee to include monthly meetings and other meetings as they arise.

b. Assist with assessment, interview and selection of interns.

c. Attend meetings and training with PS instructor and job coaches.

d. Serve as liaison between Breakthrough and UHS with Project SEARCH needs.

e. Be available to assist with any problems that arise during internships.

f. Assist with planning for graduation ceremony.

g. Interview and assist with onboarding for new for current internships.

j. Reserve rooms at UTMC as needed for Project SEARCH meetings and needs.

HR Budgets

a. Collect and compile annual budgetary information from directors and managers in human resources.

b. Combine/enter budgetary information into spreadsheet.

c. Attend Strata annual budget training.

d. Enter information into Strata system as needed.

Payments

a. Process invoices for human resources department (code, obtain approval, and forward to accounts payable for payment).

b. Process special remittances for human resources department as needed.

c. Provide tax exemption certificates to vendors and request I-9 documents as needed.

d. Prepare appropriate forms for incoming checks, deliver to cashier's office, and obtain receipts for file.

e. Assist in processing travel reimbursements and U-Form reimbursements for human resources department.

Educational Assistance Program

a. Manage Educational Assistance Program for UHS team members.

b. Monitor and manage Educational Assistance in-box, processing incoming applications, reimbursement requests, and inquiries from team members.

c. Submit new applications to Educational Review Committee quarterly and provide results to applicants.

d. Determine reimbursement amounts and assign applicable tax codes and provide to payroll for each pay period.

Quality and Safety

Process monthly and biweekly Personnel Action Forms for all employee changes regarding transfers, status changes payroll and other changes for UHS team members in Lawson

a. Review forms for accuracy and obtain any information needed to process form for each pay period by payroll deadline.

b. Review salary changes and obtain approval and documentation for any change outside of policy.

c. Obtain any approvals needed prior to processing.

d. Enter changes into Lawson and forward copies to Payroll.

e. Update SAP System for PAF changes for non-UHS employees.

f. Upload PAFs and documentation to DTI for inclusion in the employee records.

Process changes to team members personal information including changes W4, address/phone number, education, and emergency contacts.

a. Include necessary documentation to process changes.

b. Upload to DTI to include in the team member's file.

Supplies and Equipment

a. Purchase office supplies as needed for human resources, to include copy paper, envelopes, letterhead, and other supplies.

b. Replenish supplies in supply room as needed or requested.

c. Order business cards for human resources team members as needed.

d. Obtain quotes and complete purchase requisitions as needed for small equipment including office furniture, computer equipment, telephone equipment, and other items as needed.

Position Qualification:

Associates Degree Preferred

6 Months to 1 year experience in Human Resources preferred,
