The ideal candidate is meticulous, organized, and well-versed in industry standards and compliance requirements. Location: Houston, TX 77047 Type of Position: Direct Hire Responsibilities:
- Document Management:
- Maintain and manage the document control system to ensure all project documents, including technical drawings, contracts, procedures, and specifications, are up-to-date, secure, and easily retrievable.
- Implement and maintain document numbering and naming conventions.
- Regularly update document registers and databases.
- Quality Assurance and Compliance:
- Ensure documentation aligns with company policies, industry standards (ISO 9001, ISO 45001, etc.), and client requirements.
- Perform regular audits to verify the accuracy and completeness of records.
- Manage version control and ensure the latest revisions are available to all stakeholders.
- Collaboration and Communication:
- Coordinate with project managers, engineers, contractors, and clients to collect, distribute, and manage documentation.
- Function as the main point of contact for document-related inquiries.
- Train staff on document control procedures and systems as needed.
- Systems and Tools:
- Utilize electronic document management systems (EDMS) such as Aconex, Procore, or similar platforms.
- Manage permissions and access rights for project documentation.
- Generate regular reports on document status and workflows.
- Oversee the management of our document control system and facilitate the uploading and downloading of documents across various client systems for multiple projects.
Records Retention and Archiving: Oversee the secure archiving of completed project documentation. Ensure compliance with legal and regulatory records retention requirements. Requirements: - Bachelor's degree in Business Administration, Information Management, or a related field preferred
- Minimum of 3-5 years of experience in document control, preferably within the oil and gas or construction industries
- Proficiency in document management systems (e.g., Aconex, Procore, SharePoint)
- Strong knowledge of industry standards, including ISO 9001, ISO 14001, and ISO 45001
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional organizational and multitasking abilities
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to work under pressure and meet tight deadlines
- Certified Document Controller (CDC) or similar credentials are a plus
- Familiarity with records management standards such as ANSI/ARMA
