The Document Control Specialist is responsible for assisting the Document Control Manager in managing, organizing, and controlling all Design-Build-related documents throughout the project lifecycle. This role ensures that project documentation is accurate, up-to-date, accessible to all stakeholders, and compliant with the requirements of the Design-Build Contract. As Document Control touches all aspects of the project, the Document Control Specialist works closely with everyone on the TRG Design-Build team, as well as the client and their project management team, and other stakeholders to facilitate the workflow, organization, and tracking of project documentation, and to ensure that project deliverable milestones are met. The Key Responsibilities are as follows: Essential Duties and Responsibilities:
  • Oversee the receipt, distribution, and storage of all Design-Build documents, including drawings, specifications, RFIs (Requests for Information), submittals, transmittals, and other document types
  • Maintain the TRG project electronic document management system (Autodesk Construction Cloud) ensuring easy access, retrieval, and secure storage of documents. Interface with the Client's proprietary electronic document management system, PMIS.
  • Implement and Manage workflows to ensure accountability of workflow participants, and that deadlines are being met.
  • Effect real-time process improvement when necessary.
  • Ensure all Design-Build documents are up-to-date and reflect the latest revisions.
  • Track and log document revisions and amendments to ensure project teams are working from the most current documents.
  • Serve as the secondary point of contact for document-related queries (primary being Document Control Manager), ensuring quick resolution of issues related to document access or accuracy.
  • Maintain effective communication with Design-Build team, subcontractors, and the client, regarding document status and updates.
  • Train members of the project team, and new hires on basic document control processes, expectations, and workflows
  • Input and update data in the Autodesk Construction Cloud environment.
  • Generate reports for project managers, leadership, or other stakeholders as requested, providing insights into document status, issues, and timelines. Knowledge and Skills Required:
    • Associate degree, or Bachelor's degree (preferred)
    • Minimum two (2) years of relevant experience in the construction industry.
    • Excellent verbal and written communication skills.
    • Effective time management and organizational skills.
    • The ability to think strategically and streamline tasks in an efficient manner.
    • High degree of accuracy in work and attention to detail.
    • Proficiency in Microsoft Office, Adobe Acrobat and database management systems such as SharePoint.
    • Experience with Electronic Document Control Systems (EDMS) such as Autodesk Construction Cloud, Prolog, Procore, ProjectSight, etc.
    • Ability to multi-task and meet tight deadlines.
    • Ability to work both independently and with a team. Physical Demands:
    • Use of manual dexterity, tactile, visual, and audio acuity.
    • Use of repetitive motion, prolonged periods of sitting and standing, and sustained visual and mental applications and demands.
    • Occasional lifting (up to 40 pounds), bending, pulling, and carrying.
