The Document Controller plays a critical role in supporting the development phase of renewable energy projects by managing the documentation lifecycle and ensuring compliance with regulatory standards and internal processes. They are responsible for organizing, tracking, and distributing project-related documents to facilitate efficient decision-making and regulatory approvals. What you get to do:
- Document Management:
- Establish and maintain document control procedures specific to the development phase of renewable energy projects, ensuring alignment with company standards and regulatory requirements.
- Receive, review, and process development-related documents, including permits, environmental impact assessments, land leases, engineering reports, construction drawings, vendor prints and fabrication shop drawings, and correspondence.
- Organize documents in a central repository, utilizing appropriate metadata and folder structures for easy retrieval and version control.
- Maintain project document packages necessary for project financing process
- Manage document flow with subcontractors and contractors during construction including site instructions and field design changes
- Manage as-built documents and project completion hand-over dossiers including equipment and facilities operation manuals.
- Regulatory Compliance:
- Ensure that development documents adhere to relevant regulatory standards, environmental guidelines, and permitting requirements specific to renewable energy projects.
- Coordinate with regulatory agencies and external consultants to obtain necessary approvals and permits, maintaining accurate records of submission status and outcomes.
- Stakeholder Communication:
- Facilitate communication among internal project teams, external stakeholders, and regulatory authorities by distributing development documents and providing updates on project progress.
- Respond to inquiries and requests for information (RFIs) from stakeholders in a timely and professional manner, liaising with subject matter experts as needed.
- Project Reporting:
- Generate regular reports on the status of development documents, highlighting key milestones, upcoming deadlines, and potential risks or delays.
- Collaborate with project managers and development teams to track document-related tasks and deliverables, ensuring alignment with project schedules and objectives.
- Quality Assurance:
- Conduct periodic audits of development documents to verify accuracy, completeness, and compliance with company standards and regulatory requirements.
- Implement quality control measures to identify and resolve discrepancies, errors, or inconsistencies in documentation.
- Document Archiving and Retention:
- Establish document retention policies and procedures for development documents, ensuring compliance with legal and industry-specific retention requirements.
- Archive obsolete or superseded documents in accordance with established protocols, maintaining an organized and accessible archive for future reference.
What you bring to the role:
- Bachelor's degree in science, engineering, business administration, construction management or related field (or equivalent experience).
- Proven experience in document controls or project administration, preferably in the renewable energy industry or related sectors.
- Familiarity with regulatory requirements and permitting processes associated with renewable energy development projects (e.g., solar, wind, hydro).
- Proficiency in document management software/systems (e.g., SharePoint, e-Builder, Aconex) and Microsoft Office Suite.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines in a dynamic environment.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external stakeholders.
