Description

The Document Processing (Clerk II) securely stores documents and retrieves archived materials upon request.

Requirements

· Examines and provides quality control (QC) of the imaged documents received and screens images using review criteria.

· Performs quality control functions on imaged documents.

· Assures that documents entered and uploaded into the imaging system contain the proper patient-identifying bar-coded cover sheet or that the case number is entered to distinguish individual patient records.

· Assists with opening and sorting incoming mail for distribution and dispatches outgoing mail.

· Logs receipt of all mail in tracking systems.

· Sorts mail according to destination and type, such as medical records and mail for administrative staff.

· Calls providers to obtain missing passwords for compact discs (CDs).

· Assists with scanning and disposition of all documents received on paper, CD, fax, or by electronic means.

· Assists with logging postage amount from providers' envelopes for provider reimbursement.

· Works in the government system to attach documents to cases and notify appropriate parties.

· Examines outgoing mail and seals envelopes by hand or machine.

· Stamps outgoing mail by postage machine or by hand and monitors postage usage.

· Assists with the documentation, storage, retention, and destruction of paper documents received from providers.

· Participates in the continuous improvement process to identify quality issues and recommends solutions.

· Protects the confidentiality of patient information through compliance with the Health Insurance Portability and Accountability Act (HIPAA) and the Health Information Technology for Economic and Clinical Health Act (HITECH).

· Attends annual security awareness, rules of conduct, and conflict of interest training.

· Performs other duties as assigned.

Essential Knowledge:

Knowledge of specific components of a medical record needed from providers for medical claims review is preferred. Knowledge of mailroom processes for sending and receiving mail via different mail carriers is preferred.

Essential Education:

High school diploma or GED is required.

Essential Skills:

· Must be able to read English, communicate, and speak clearly and courteously.

· Must be able to lift thirty pounds.

· Must have excellent computer usage skills, using both a keyboard and mouse.

· Must be attentive to detail and scrutinize documents for accuracy and legibility.

· Must be able to learn on the job and to follow directions.

· Must work independently.

· Must be flexible and willing to work closely with all types of individuals.

· Must be willing to grow professionally.

SCA Coverage:

Company is a federal contractor under the McNamara-O'Hara Service Contract Act (SCA).

The McNamara-O'Hara Service Contract Act (SCA) covers prime contracts of over $2,500 entered by the federal government and the District of Columbia. The principal purpose of the contract is to furnish services in the U.S. using service employees. The definition of “service employee” includes any employee engaged in performing services on a covered contract other than a bona fide executive, administrative, or professional employee who meets the exemption criteria set forth in 29 Code of Federal Regulations (CFR) §541. Under the SCA, covered employers must pay the prevailing wages and benefits in the locality at a minimum as determined by the U.S. Department of Labor (DOL) in a wage determination.
