Documentation Specialist
Contractor only position (3 months). Extensions based on project completion status.
Seeking local candidates for this onsite position.
This role is for the purpose of creating new work instructions for each shop floor position. Contractors will shadow the Engineers where they are expected to interview/ask questions in order in order to create instructions. Contractor will document the process via photos and in written format.
Education: Minimum requirement GED/HS Diploma
Experience: Comfortable using MS Office: Word, Excel (tables/charts), and PowerPoint.
Job Description:
Prepare, distribute and store accurate and timely customer, internal, and supplier documents for projects, as per the companys/projects procedures and ensuring effective version control and status tracking.
Main Accountabilities:
Technical contribution
o Manages documentation to ensure proper version control in the document management system.
o Ensures that documentation is maintained in compliance with the company's/projects procedures, including format, receipt, registration, number, filing, recovery, and the issue of documents.
o Assists in the preparation of the project document list, periodically updates, and issues the document list as well as preparing and updating progress reports as per the schedule.
o Work with engineers to understand and then create/consolidate operator instructions. After creation/consolidation, verify by observation.
o Work with managers to understand and then create/update site level procedures. After creation/update, verify with respective manager.
Technical leadership and knowledge sharing
o Effectively communicates and provides relevant information to stakeholders and customers.
Processes and Tools
o Contributes to process enhancements related to document management and applies the document management system efficiently.
Planning and Control
o Codes issued documents, ensures that reviews, numbering, distribution, filing, and registration are in compliance with procedures.
o Monitors the progress of project documentation, updates the receipt and document distribution information register.
o Communicates deadlines to the project team for document delivery.
o Organizes final documents and maintains them in the internal or external archive.
o Monitors and reports actual versus planned time for document management work packages.
