Job Description:
SUMMARY:The Donor Services Seasonal Associate has a critical front-line role in ECHOs interactions with those whose generosity makes ECHOs work possible. This person carries-out many of the key functions that demonstrate ECHOs commitment to excellence, accountability, and good stewardship. These functions include managing the daily gift deposits including the analysis and processing of donations, the timely production of acknowledgement letters and donation reports, and providing administrative support to the Advancement team.ESSENTIAL DUTIES AND RESPONSIBILITIES:Contribute to the goals of the Advancement Department as follows:Donation Processing
  • Process donation deposits and enter donation information into Salesforce CRM.
  • Maintain organized record-keeping of donation documentation for audit needs.
  • Generate/mail all thank-you letters/gift acknowledgments.
  • Maintain reporting and communications for recurring donations.
Salesforce Database Management
  • Assist Donor Services Coordinator to add/update/merge accounts; maintain clean data records by insuring standardization of data entries.
  • General donor account maintenance in Salesforce CRM
  • Assist Donor Services Coordinator to manage volunteers on data entry and special database projects.
  • Perform periodic maintenance to ensure that data is up-to-date and lacking duplicate records.
  • Assist donors with declined transactions including updating payment information in Salesforce CRM.
PR, Events, and Media
  • Assist with event logistics.
  • Assist with mailings and brochures, helping to coordinate volunteers as needed.
  • Printing, folding, and stocking of brochures and other promotional materials.
Administrative Support
  • Answering incoming phone calls and processing phone donations.
  • Assist the Donor Services Coordinator in maintaining an inventory of supplies and promotional materials.

  • Availability to work some evenings and weekends for special events.
  • Aptitude for quickly learning new database/computer systems.
  • Prioritization of data entry and careful attention to detail with self-motivation to consistently review work for accuracy.
  • Strong Microsoft Word, Excel, and PowerPoint skills.
  • PREFERRED EDUCATION AND EXPERIENCE:
  • Bachelors Degree in Business, Public Relations, Communications, Marketing, or related field ideal.
  • Minimum of two years of work experience in data processing, systems operations, and/or fundraising in a nonprofit environment ideal.
  • ORGANIZATIONAL RELATIONSHIPS:The Donor Relations Associate directly supervises volunteers and collaborates with other members of the Advancement Team to accomplish fundraising goals. A partnership exists with the Finance Department to process donations, and the Tour Coordinator to accomplish mission-focused tours.WORK ENVIRONMENT:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions within an office environment. The noise and activity level in the work environment is usually quiet; however, at times the environment can become harried due to unexpected urgent projects and deadline demands. Must have a temperament to work constructively under pressure situations and must have the ability to travel within minimal time segments.PHYSICAL REQUIREMENTS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to stand, walk, use hands, talk, and hear. Fine motor skills such as typing, the use of a computer mouse and telephone handset are required. The employee is frequently required to reach with hands and arms. The employee is required to sit, stoop, kneel, and crouch. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.POSITION TYPE AND EXPECTED HOURS OF WORK:This is a part-time position. Days and hours of work are flexible Monday through Friday, 8:00 a.m. to 5:00 p.m. with an expected weekly total of 25 hours.
