Primary Responsibilities Include:• Oversee and provide administrative duties of Early Learning for all Program. • Assist to conduct webbinar for providers related to ELFA program and assist to conduct internal and external meetings related to program planning and service delivery. • Manage the weekly, montly meeting agenda and oversee the team's calendar.• Conduct orientation, early learning for all system training and onboarding as required for effective program operation and staffing consistent with the protocols of the Department. • Enter information into multiple databses accurately and promptly. The position will also support tasts related to new hires, helping to ensure a smooth onboarding process. • In collaboration with program supervisor, coordinate enrollment for clients eligible for the ELFA by organizing and assigning cases pulled from the early Learning SF.• Assist program manager to develop all program forms and communication templates for providers and parents related to enrollments including updates and revisions, as needed. • Assist Enrollement Specialist to conduct timely childcare eligible and need intake interviews accoridng to program guideline.• Support Early Learning for All Enrollment Specialist and Tuition Specialist to communicate with clients on timely basis when they are away.• Support Early Learning for All Enrollement Specialist and Tuition Specialist for case management and payment calculation to ensure smooth operation.• Support Early Learning for All Enrollment Specialist and Tuition Specialist to update all changes into database to ensure the smooth operation of the program.• Assist in the creation of the program documents and ensure compliance with local, state, agency, and program policies and procedures. • Attending meetings related to Early Learning for ALL Program service delivery and staff development. • Provide assistance in preparing documents, filings, reports, copying, collating, and word processing support to office staff. • Help support and participate in staff meetings, special projects, community outreach and family events as needed. • Provider translation and interpretation of program materials as needed. • Assist manager to send out all the survey to families and providers and complete the detailed survey results. • Other duties as assignedKnowledge/Experience/Skills Required:• Excellent verbal and written communication skills.• Proficient in Microsoft Office programs ( Power POint, MS Word), Google workspace, and database management.• Ability to engage effectively with diverse, low-income communities. • Team player with the ability to work independently and manage time effectively.• Strategic thinker with problem -solving and descision -making capabilities.• Availability for evening and weekend work, with a willigness to travel within San Francisco. Education Required / Skills:• High school diploma or equivalent: additional qualification in office administration or related fiels are a plus. • Proficient in English ( reading, writing, speaking). Bilingual in Cantonese/Mandarin or SPanish language is a plus.
