Job Description Job Details Job Title: Editorial Mgr Career Level: Job Code: 140740 Job Profile: Job Family Group: Editorial Reporting To Level: Job Family: Production Span of Control: People Manager FLSA Status: Exempt Work Arrangement: Hybrid Travel Requirements: No JOB SUMMARY Comments The Editorial Manager directly supports assigned accounts, manages a group of direct reports, and assists the Editorial Director in delegating and handling all day-to-day operations and administrative tasks that pertain to the department. ESSENTIAL FUNCTIONS Comments Proofreading/Copy Editing/Fact Checking Proofreads, copy edits, and fact checks materials for assigned accounts, as well as other accounts as needed, reviewing for sense, spelling, grammar, brand style, readability, consistency, accuracy, and context within each job and all related jobs, while providing clear, concise, and thorough comments. Brand Stewardship Quickly masters specifics of assigned accounts and product categories, and accommodates multiple assignments effectively. Mentorship and Training Works with department team members (eg, direct reports, mentees) to identify development goals and strengthen their core competencies. Resource Management Ensures all daily deadlines are met and prioritizes workload accordingly; proactively moves non-prioritized projects. Communication and Cross-Functional Collaboration Ensures daily communication with internal team members to update them on all aspects of projects; works effectively in a team environment to build and foster collaborative atmosphere and ensure goals are being met while maintaining quality control. JOB DUTIES / RESPONSIBILITIES Comments *For Specialty functions, see additional information (if applicable) in the box below. Proofreading/Copy Editing/Fact Checking •Proofreads, copy edits, and fact checks materials for assigned accounts, as well as other accounts as needed, reviewing for sense, spelling, grammar, brand style, readability, consistency, accuracy, and context within each job and all related jobs, while providing clear, concise, and thorough comments. •Maintains version control, ensures project file integrity, and verifies that requested changes have been accurately incorporated across rounds of project routing. •Verifies data and factual information using provided references, annotations, and general science and math competency. •Performs correction check/line slugs for most intervening rounds. •Flags permission requirements for copyrighted content. •Uses technologic tools to replace manual reviews as appropriate. •Edits new business initiatives (presentation decks, concepts, branding materials) and internal agency materials as needed. •Keeps current on FDA guidelines and industry changes in AMA style, spelling, and medical terminology. Brand Stewardship •Acts as primary/lead editor for 1 or more larger, complex brands. •Serves as primary/lead editor during high-level brand events, including product launches and label updates. •Quickly masters specifics of assigned accounts and product categories, and accommodates multiple assignments effectively. •Ensures all daily deadlines are met and prioritizes workload accordingly; proactive on moving non-prioritized projects. •Generates and promptly updates style guide for assigned accounts, and uses own knowledge and experience to confirm brand style decisions. •Oversees and advocates for the adherence to client/brand process and style. •Attends status, hot sheet, and kick-off meetings for assigned brands as needed. •Resolves content issues using reference materials and collaboration with copywriter. •Supports copywriters and account team, when needed, researching medical references and retrieving articles. •Helps enforce OPDP/regulatory guidelines. •Builds and maintains a command of brand data and content. Mentorship and Training •Onboards direct reports for all aspects of their role, and conducts regular performance assessments. •Meets regularly with direct reports to monitor workload, performance, and brand/process challenges, and to assist in coaching and professional development, including regarding agency process, editorial best practices, AMA/client/agency style, and brand/team nuances. •Maintains a high-quality relationship with each direct report, providing timely coaching and feedback and maintaining ongoing and regular open communications. •Assists in the training and guidance of less-experienced editors, including new hires in the department on editorial process, roles, and responsibilities. •When managing freelancers, meets regularly with freelancers to ensure understanding of brands, process, and review approaches. •Spot-checks work of freelancers/junior staff to ensure accuracy and adherence to style. •Empowers senior direct reports and collaborators to use their seasoned expertise and judgment for problem-solving. •Participates in agency orientations for both new agency staff and clients, as appropriate. •May lead process update/refresher meetings to reinforce client/brand requirements. •May conduct seminars on FDA regulations, referencing/annotating, and other Editorial-related topics. •Recognizes training gaps and proposes training initiatives with Editorial leadership to realign both the Editorial Department and/or agency on established process/best practices. •Brainstorms on ideas to keep up with emerging needs and the latest technology. Resource Management •Monitors workload of direct reports to ensure the timely execution of brand assignments with awareness of the editorial budget, and assists Editorial leadership with departmental workload management. •Advises Editorial Director on staff time off scheduling and brand milestone timing to help ensure adequate staffing. •Assists Editorial Director with recruiting, interviewing, and staffing efforts, including participating in annual SOW review and updated SOW meetings for assigned client/brand(s), contributing to departmental staffing/resourcing discussions, and discussing the need for freelance or network support. Leadership •Effectively leads a team of editors of varying levels by recognizing strong and deficient staff performance, providing regular constructive feedback, and identifying professional development opportunities. •Assists Editorial Director in delegating and handling all day-to-day operations and administrative tasks that pertain to the department. •Capable of managing Editorial team when Editorial Director is absent or unavailable. •Attends senior-level meetings to facilitate day-to-day operations of the agency, as appropriate. •Displays strong partnership with group managers and department leadership in ensuring continued Editorial success and development in client/brand ways of working. •Serves as a client-facing liaison in presentations, as appropriate. •Able to communicate a vision or goal to others and lead them toward achieving it. Communication and Cross-Functional Collaboration •Demonstrates extensive interaction and follow-through with direct reports and account teams. •Works closely with all brand team members to ensure materials are of the highest quality in terms of accuracy, clarity, readability, and appeal. •Collaborates with cross-functional leaders, both internally within the agency and externally within IPG Health, to align on best practices, and acts as a liaison between upper management and department staff. •Maintains open dialog with department leadership to ensure process alignment throughout agency and across network. Administration •Maintains timely and detail-oriented approach to management of all related internal and external administrative duties. •Arranges for back-up coverage when unavailable or out of the office. EDUCATION DEGREE/DIPLOMA AREA OF STUDY REQUIRED/PREFERRED Bachelor's degree English, communications, journalism, biology, or related field Preferred LICENSES & CERTIFICATIONS None required EXPERIENCE MINIMUM EXPERIENCE AREA OF EXPERTISE REQUIRED/PREFERRED 5+ years Pharmaceutical advertising in an agency setting Required 2+ years Experience as a senior/lead editor Required 0-1 year Experience leading editorial coverage for a product launch Preferred 0-1 year Supervisory experience, working across shifts and workstreams with supporting editors Preferred KNOWLEDGE, SKILLS, & ABILITIES Comments •Command of the English language, including strong spelling, writing, punctuation, and grammar skills. •Strong computer literacy skills, including proficiency with digital documents, routing systems, comparison tools, and remote meeting video tools; preferably Microsoft suite, Adobe Acrobat, Workfront/Workfront Proof, SharePoint, GlobalVision/Verify. •Strong math competency. •Thorough knowledge of latest edition of AMA guidelines and Merriam-Webster. •Strong knowledge of medical terminology. •Strong knowledge of FDA pharmaceutical advertising regulations. •Strong people management skills: Able to document staff performance and compose effective performance assessments, help direct reports develop and improve their skills over time, and effectively answer/manage staff questions and concerns and/or refer to supervisor or HR as appropriate. •Excellent interpersonal skills: Develops positive, professional relationships within the department and across disciplines. •Organizational knowledge: Has a high-level understanding of the responsibilities associated with all other departments. •Strong time management skills: Ability to carefully plan ahead, work efficiently, and prioritize projects effectively to complete all work in an accurate and timely manner.
