Summary: Are you a highly organized, detail-oriented professional who enjoys working with children and supporting a dedicated team? As the Early Head Start (EHS) Administrative Assistant, you'll play a vital role in creating a welcoming, organized environment for children, families, and staff. Working closely with the Director and program team, you'll help ensure smooth operations by managing essential data, tracking compliance, and coordinating events for our Early Head Start program. Your attention to detail and love for a fast-paced, supportive environment will make a direct impact on the lives of children and families in our community. Success In This Role Looks Like:
  • Managing office tasks such as answering phones, scheduling, filing, and organizing program materials to keep our EHS program running smoothly.
  • Preparing and distributing materials and updates to families and staff, helping keep everyone informed about events, updates, and important deadlines.
  • Maintaining accurate records for children, families, and staff, tracking required training, assessment deadlines, and attendance.
  • Assisting with event coordination for families and staff, from meetings to special events, ensuring all details are well-organized.
  • Overseeing inventory and supplies, making sure classrooms and program spaces have what they need.
  • Providing administrative support to the Director, entering data, generating reports, and assisting with presentations.
  • Supporting communication with families and prospective families, helping them navigate the application process and ensuring all documentation is complete.
  • Assisting with onboarding new staff by managing necessary documents and contacting references, helping to build our strong EHS team.

  • A knack for organization and attention to detail in a fast-paced environment.
  • Strong communication skills to interact professionally with diverse children, families, staff, and community members.
  • Proficiency with technology, able to manage data across software platforms and handle office operations smoothly.
  • Self-motivation, the ability to prioritize responsibilities, and a commitment to meeting deadlines independently.
  • A collaborative, flexible attitude and a passion for making a positive impact on the lives of children and families.
Requirements for Consideration:
  • Minimum of a high school diploma or equivalent; an Associate's degree in business administration or a related field is preferred.
  • At least 2 years of administrative experience, ideally in an educational or non-profit setting.
  • Valid Virginia driver's license and acceptable driving record.
  • Must provide TB free documentation, a Staff Health Report, and pass all required background checks.
  • Provide three references (professional or educational).
