Job Description:
We are currently looking for a Full Time Elder Clothing Grant Specialist to join our Area of Youth Support team located at the Youth & Family Building working 8:00AM-5:00PM - Mo Tu We Th Fr.Summary:Responsible for answering phone calls, emails and processing applications for the elder clothing grant within youth support.Responsibilities:* Responsible for the scanning, uploading and data entry of grade reports and all associated documentation needed to process applications for the elder clothing grant* Direct multiple calls and/or answer questions in reference to all youth support programs* Responsible for electronic data entry and applicant verification and processing pending applications as well as monitoring and troubleshooting card usage* Responsible for examining and verifying submitted receipts for compliance with card use guidelines as well reconciliation of submitted receipts to card usage documentation for verification of proper usage* Assists the lead specialist and manager in adhering to all program policy and funding agency regulations as require for the function of the elder clothing ant program including award determination* Exemplify a high level of customer service in all contact with citizens through phone, email and in person. Must maintain effective working relationships with employees and supervisory staff within the department, tribal and other visitors to the program* Acts as a representative for the division of youth services at any necessary tribal or youth events pertaining to the clothing grant program* Participates in tribal, state a federal committees, boards and other Indian education groups pertaining to primary and higher education as requested by the program manager and director of youth support* Assists the program in overseeing the maintenance of the elder clothing grant database system* Performs all other duties as assignedCompetencies:Essential:* Able to follow instructions, both written and oral * Able to adhere to all scheduling and attendance requirements* Maintains strict confidentiality in all matters* Must be able to exert analytical and critical thinking skill* Ability to work independently* Honesty, truthfulness, reliability, accountability* Prioritizes, meets deadlines and works independently in a high-pressure environment and uses appropriate judgement in upward communication regarding assignments* Able to read, understand, apply, and retain knowledge of Chickasaw Nation, departmental, divisional and all other rules, regulations, policies, procedures and guidelines* Possess a strong commitment to Chickasaw youth and families* Ability to multitask* Relates problems and translates understandable solutions* Works well within a team* Organizational and time-management* Able to verbally communicate in a professional and positive manner with other team members, departments, guests and management* Prepares role specific reportsSkills:Essential:* Basic Computer skills* Must be familiar with the Microsoft Office Suite of productsExperience:Nonessential:* 1 year directly related experienceEducation:Essential:* High School, GED or EquivalentCredentials:Essential:* Standard Driver's License* Pass general background checkWorking Conditions:Essential:* Pass pre-employment drug test* Works in an office setting* Requires light travel* Sitting up to 75% of shift* Standing up to 50% of shift* Sometimes lift and or carry up to 15 lbs
