SummaryThe Emergency Management Alliance Program Specialist is responsible for providing administrative support to the Emergency Management Alliance of Central Virginia (the Alliance ), a coalition of emergency management professionals, partners, and stakeholders within the Alliance Footprint. Responsibilities include: Alliance administration and support including development and maintenance of plans, policies, and procedures for Alliance operations; project management and coordination; support for grant coordination and proposal development; other tasks as necessary to foster regional coordination in the mitigation, preparedness, response, and recovery from all types of disasters, or to assure PlanRVA's fulfillment of responsibilities outlined in its MOU with the Alliance.Essential Functions
  • Provide coalition management and administrative support for the Alliance, including scheduling and organizing meetings, preparing and distributing agendas, maintaining the Alliance's membership directory, recording and distributing meeting minutes, and managing key communications to ensure alignment and effective coordination across the region.
  • Maintain all Alliance records and coordinate with PlanRVA staff to ensure Alliance website content and online presence is current.
  • Collaborate with Alliance members and PlanRVA staff to coordinate, develop, and administer grant applications to support the activities and priorities of the Alliance.
  • Coordinate with Alliance members and partner organizations to ensure successful grant project implementation and management, developing and strengthening relationships with key stakeholders to foster collaboration and support for project goals.
  • Support Alliance planning and outreach, working closely with the Chair, committees, members, and state/federal partners to promote general awareness of the Alliance and its key initiatives year over year.

Supervisory ResponsibilityThis position may be responsible for direct supervision of part-time or temporary staff members or vendors hired to perform specific tasks for an identified program or project. The position requires coordination with Alliance and staff members at PlanRVA on related work projects.Position Type/ Expected Hours of WorkThis is a full-time position. Standard days and hours of work are Monday through Friday, 8:00 am to 4:30 pm; flexible schedules are encouraged especially to accommodate deadline specific activities and work life balance. Occasional early morning, evening and weekend work may be needed for specific project deadlines or meetings as job duties demand. Mobile work available.TravelRegular travel within the greater Alliance footprint for meetings and other events is expected. Out of region travel may be involved to support professional development and representation of the Alliance in state and national events. Required Education and ExperienceBachelor's degree required with 3 years' work experience. Preference for experience in coalition management, Emergency Management, Grant Management, or a related field or an equivalent combination of education and experience. Preferred Education and ExperienceMaster's degree is preferred in a related field with at least 1 years' related work experience.
