The Administrative Assistant is responsible for taking a proactive and forward-looking approach while providing administrative support to the Vice President and Business Manager of Encapsys and managing the Innovation Headquarters facility with a variety of tasks. This position is responsible for calendar management, travel coordination, and meeting organization for the Encapsys team as well as greeting all visitors, monitoring and restocking inventory levels for multiple areas within the facility and maintaining general upkeep throughout the facility. JOB RESPONSIBILITIES Support Encapsys Vice President and Business Manager calendar management, presentation and meeting preparations, and travel coordination Excellence in services performed for all levels in organization and general operation of the Encapsys Innovation Headquarters office Maintain a professional, organized, and welcoming front office workspace while serving as the building receptionist Manage contractor and vendor relationships. When onsite, ensure onsite sign-in process is followed, inform of safety protocol and provide support as needed Act as onsite resource for IT needs, to include supporting remote troubleshooting and coordinating local vendor support. Serve as key planning member for the bi-annual Technical Summit Conference, held locally onsite Maintain, inventory, order and distribute office, laboratory, and other miscellaneous incoming supplies. Reconcile invoices and process monthly expense reports Perform light housekeeping tasks to keep the office clean and organized. Includes loading and unloading of dishwasher daily, planting seasonal plants, decorating office for holidays, etc. Participate as an active member of the FUN Committee and other committees that may form in the future to encourage associate engagement and maintain our culture Assist with planning office events such as meetings, conferences, teambuilding activities, holiday parties, etc. Assist Human Resources with various tasks including new hire and onboarding processes and anniversary program administration Manage the Encapsys company store on a routine basis Coordinate travel to include flights, hotels and rental vehicles to include local, domestic and international Perform work related errands such as going to the post office and local stores. Includes managing funds and inventory for cafeteria snack basket. Mileage reimbursed by company for work related errands. Lead and support ad hoc projects as assigned, taking responsibility for planning and executing to achieve desired outcomes. Handle confidential and sensitive information with extreme discretion, safeguarding and protecting critical, proprietary and personal data.
