Categories: Kenyon College is conducting a search for a qualified candidate to fill the position of Engagement Events Program Coordinator.Reporting to the Associate Director of Alumni and Parent Engagement Events, and working closely with the Director of Alumni Engagement, the coordinator is responsible for providing support for events involving alumni, parents and donors that are sponsored by the Advancement Division as well as providing occasional collaborative support to our campus partners. These events include but are not limited to: volunteer meetings, Homecoming Weekend, Family Weekend, and Reunion Weekend.Essential Functions
- Manage an online events registration system for events that vary from large to small scale, with multiple event registrations running simultaneously.
- Lead registration, database and email marketing work in the office's online alumni portal.
- Provide logistical support for events, including arranging accommodations, catering and shuttles, reserving venues, preparing event materials (nametags, parking permits, etc.), obtaining permits, and accommodating special requests as needed.
- Provide additional event support, including attendee tracking and reporting, managing payment systems, tracking expenditures, surveying attendees and sending email communications.
- Coordinate and update event content on Office of Alumni and Parent Engagement web pages on a regular basis.
Other Functions
- Handle general inquiries by telephone and e-mail from alumni, parents, students, and other institutions about the Office of Alumni and Parent Engagement.
- Support and steward our alumni and parent communities, which include donors.
- Oversee inventory of office and event supplies.
- Provide additional support to off-campus programs and office programming as necessary.
- Serve on search committees as requested.

- Ability to develop new methods, adapt to the changing needs of the office and establish appropriate procedures.
- Ability to work independently as well as part of a team.
- Ability to make sound decisions under pressure and the ability to be creative when problem solving.
Supervisory Responsibilities
- Supervisory responsibilities include student workers, temporary student workers and student interns.
Working Conditions
- Work is generally performed in an office environment and requires the ability to operate standard office equipment as well as the ability to sit for long periods of time.
- The ability to lift items weighing 30 pounds or less and move tables and chairs when necessary for events is required.
- Hybrid work environment opportunities with the option to work remotely for part of the week during most of the calendar year.
- Attendance at marquee College events hosted by Advancement which may include some weekends and evenings.
Minimum Qualifications
- Two year college degree or three years' experience in planning and organizing large events or projects.
- Strong computer skills are required, including Microsoft Office programs and familiarity with Google office suite, data management, mobile payment, online content management and reservation systems, as well as a willingness to learn new systems.
- Ability to do long- and short-range planning.
- Must be accurate and timely.
- Willingness to work occasional weekends and evenings. Please note that the following weekends will be required; Family Weekend (early-mid October) and Reunion Weekend (May including Memorial Day Weekend).
- The ability to obtain College driver certification is desirable.
