QM is a nonprofit organization comprised of a dedicated staff that works together virtually-from cities all over the United States-to support everyone's quality assurance goals. Responsibilities The Enrollment Specialist is responsible for coordinating and executing logistical aspects of Quality Matters professional development virtual workshops and supporting other logistical and administrative aspects of QM's professional development programs, including enrollment and registration processes, database entry and information management, logistics of delivery, and follow-up, in coordination with the other Professional Development staff. In this role, the Enrollment Specialist will support:
  • The Quality Matters™ (QM) organization toward the achievement of QM's philosophy, mission, strategy, and its annual goals and objectives.
  • Implementation of the strategic goals and objectives of Quality Matters™, as defined by the QM Board of Directors, through the administration of certain aspects of QMs Professional Development.
Essential Duties In fulfillment of the responsibilities, the Enrollment Specialist will: Manage Professional Development processes
  • Input the Higher Education and K-12 online and virtual training schedule ito meet or exceed budget goals with oversight by the Professional Development Registrar
  • Serve as backup for scheduling facilitators for online, F2F, and virtual workshops in collaboration with the Facilitation Program Manager
  • Coordinate, manage, and input the K-12 online, public training schedules
  • Verify facilitator parameters document for certification courses to ensure all signatures have been provided.
  • Verify and approve online and virtual facilitator stipends.
  • Manage K-12 TOC sessions - monitor registrations, create blended sessions as needed for TOC, cancel K-12 sessions and notify K-12 facilitators.
  • This role reports to the Director of Professional Development.
Manage and coordinate virtual workshops
  • Schedule and moderate QM Success Stories.
  • Assist Senior Instructional Technology Specialist in uploading rosters to Engageli for all two-hour virtual workshops.
  • Serve as backup to schedule synchronous sessions for Certification courses.
Manage Internal and External Relationships
  • Communicate (via phone, email, website, Salesforce, etc.) training products and processes, as needed to clients and QM staff
  • Coordinate with Professional Development staff and contractors to ensure consistent application of Quality Matters standards, policies, and practices across the curriculum
  • Monitor, evaluate, or record virtual workshop activities Provide recommendations to Quality Provide regular updates to Director of Professional Development on issues, and progress, at their one-on-one meetings
Collaborate as a member of the Quality Matters Team
  • Coordinate and cooperate with Quality Matters staff to ensure Quality Matters mission, programs, products and services are consistently presented in a strong, positive image to relevant stakeholders.
  • Participate in weekly staff meetings.
Other Duties as Assigned Required Qualifications Self-starter, capable of being productive in a fast-moving virtual office environment with the following qualifications and desired skills:
  • Bachelor's degree in business, education, or related field.
  • Experience using Google documents, specifically Google Sheets and Excel.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-moving, virtual work environment.
  • Willingness and ability to learn proprietary database systems and other software packages.
  • Strong organizational skills and time management skills, including the ability to handle multiple tasks and meet deadlines consistently.
  • Strong interpersonal skills.
  • Ability to multi-task with high attention to detail.
  • Must have access to reliable, high-speed internet.
Preferred Qualifications
  • Ability to independently problem solve, and to utilize critical, and creative thinking skills.
  • One year of working experience in post-secondary education.
  • Two years or more of administrative experience working in non-profit organizations.
  • At least two years of experience with online education.
  • Experience working with scheduling software.
Technology Proficiencies
  • Demonstrated proficiency with Microsoft Office Suite, Google Suite applications, and self-sufficiency in using virtual communication and information technologies.
  • Cloud file-sharing or collaborative software.
  • Video conferencing software, Zoom.
  • Database management, CRM, ERP software.
Additional Information QM operates a virtual office, and this will be a remote, home-based position. Applicants must reside permanently in one of the following states to be considered for this position: CT, FL, IL, IN, KS, KY, MD, MI, MO, NC, NH, NM, NV, OH, OR, PA, SC, TN, TX, or WA. Candidates outside of these states need not apply. You should also have access to reliable high-speed internet. This full-time remote position is At-Will, with a salary range of $46,392 - $52,192 annually, based off of a 40-hour work week, minimum, paid in biweekly increments. This position is eligible to participate in QM's competitive benefits package including medical, dental, vision, life, long-term disability, 401(k), 12 paid holidays, paid vacation and paid sick leave. Work Environment and Physical Demands This job operates in a telecommuting and/or home office environment. The work in this role is conducted primarily through the use of computers or computer-based and internet technology as well as other office productivity machinery such as a computer printer. As such, the job is largely sedentary and requires continual and sustained operation of a computer. The person in this position frequently communicates with peers, colleagues and staff in both synchronous and asynchronous modalities. Must be able to exchange accurate information. Regardless of physical location, all QM employees are required to be available to attend the synchronous core schedule of Monday through Friday, 10:00 am to 3:00 pm, EST and participate in weekly staff meetings.
