Hiring Range: $47,195.20 - $59,950.80/Year. It is anticipated the hiring rate offered will be +/- the midpoint range depending on qualifications.Port Corpus Christi Authority (PCCA) is currently seeking a dynamic professional to join our team! This position will perform secretarial and administrative tasks for environmental personnel as required; while providing support to the Director of Environmental Planning & Compliance.ESSENTIAL FUNCTIONSProvides general secretarial services and administrative support to the Director of Environmental Planning & Compliance and other environmental staff serving as a receptionist, answering and screening incoming telephone calls, taking messages, and greeting visitors for the departmentAssists the Director of Environmental Planning & Compliance in the overall administrative functions for Department including streamlining and simplifying processes, compiling information to respond to internal and external inquiries, and Commission Meeting preparationTracks regulatory authorizations for the Port area and disseminates to responsible Environmental team membersProcesses and codes department request for purchase orders and invoicesCoordinates report submissionsOpens and distributes mail for environmental staff as requiredArranges meetings and conferences; takes and transcribes minutes, as directedMakes travel reservations for the environmental staffProvides clerical support including initiating, typing, and proofreading of reports, letters, and other documents in draft and final copy for environmental staffEstablishes and maintains necessary environmental files as required for environmental compliance and recordkeeping, to include record retention, DocuWare, and assists with associated project filesPerforms data entry of environmental records and maintains various TEAMs Channels, spreadsheets, and tracking data for environmental projectsCoordinates with procurement for solicitation of environmental projects and suppliesSupports the other administrative personnel as neededAdheres to Port policy and maintains good employee relationsDrives vehicles as necessary to complete assigned tasks and works assigned hours to fulfill position objectivesPerforms related duties as assignedCPR certified or the ability to become CPR certified within the first year of employmentTier 3 status designationCANDIDATE PROFILEThe preferred candidate for this position should be a highly organized, thorough, self-motivated, and disciplined individual with a focus on maintaining optimal integrity in support of the PCCA. They must possess the following:EDUCATION & CREDENTIALSHigh school diploma or equivalentMinimum two years formal education from an accredited college or university preferredAbility to obtain and maintain a Transportation Worker Identification Credential (TWIC) during course of employmentValid driver's licenseEXPERIENCE & JOB KNOWLEDGEMinimum of four (4) years related secretarial experience or acceptable equivalent experienceExperience with environmental and construction projects preferredTECHNICAL SKILLSAbility to organize and maintain extensive filing and reference systemsAbility to handle heavy workloads from environmental and engineering staffAbility to demonstrate secretarial skills including typing proficiency of 50 w.p.m. and file organizationExcellent written and spoken English communication skillsAbove average proficiency in MS Office, including Word and Excel, Outlook and other related applicationsAbility to understand, interpret, and apply all PCCA policies, promotes and adheres to the SEAPORT values, state/federal lawsAbility to maintain good employee relations and encourage and foster a helpful environment where teamwork prevailsAbility to assist senior management and office staff where appropriateESSENTIAL PHYSICAL JOB FUNCTIONSAbility to perform essential job functions, including but not limited to frequent standing, walking, sitting, speaking or hearing, typing and occasional reaching, stooping, kneeling, lifting and/or moving up to 20 pounds with or without reasonable accommodationMust be able to walk and stand on level and/or inclined, climb stairs, ramps, ladders and work stands.
