SUMMARY:
The successful candidate will have a strong desire to serve in North Philadelphia, specifically Kensington, and will have demonstrated experience in event coordination, administration, logistics, and customer service. Under the supervision of the Assistant Director of Community Health and Wellness (CHW), the Event Coordinator supports facility requests and rentals taking place in the CORE building and across EHC's clinic sites through connecting with community partners and individuals who are interested in the space, processing facility requests, collaborating with the Operations, Facilities, Community Health and Wellness, Fitness, and Security teams, and serving as a point of contact through the process of facility rentals and events with neighbors, non-profits, and others seeking to utilize the space.
ESSENTIAL FUNCTIONS
* Oversee the process for facility requests and space rentals primarily at EHC's community wellness center, The CORE, as well as at our other clinic sites as needed.
* Connect with community partners, neighbors, staff, and others who are interested in learning more about The CORE and/ or renting or utilizing space in our buildings. This will include building tours and walkthroughs of the spaces, sharing the vision and mission for the space, and building new partnerships.
* In collaboration with Community Health and Wellness, Operations, Facilities, and Security teams, develop and implement processes to ensure proper use of all building spaces, including writing policies and procedures for space rental, creating contracts, and establishing best practices to streamline rental space procedures.
* Communicate event schedules to facilities, operations, and relevant teams, ensuring that both public and internal calendars are consistently updated to prevent and address scheduling conflicts.
* Serve as the main point of contact for all clients, staff and partners seeking to rent spaces in our buildings, communicating and answering questions or concerns in a timely manner throughout the rental process.
* Utilize RecDesk, our recreational management software platform, to track facility requests and reservations and process and collect all payments.
* Create and disseminate marketing materials to ensure that community members are informed about the space and to bring new partners to utilize the rental spaces in The CORE and across our buildings.
* Identify, build, and maintain mutually beneficial partnerships for disseminating information about The CORE and EHC to accomplish EHC's goals, mission, and vision in cooperation with the CHW, Operations, and Fitness teams.
* Communicates directly, effectively, and in a timely fashion with their supervisor, collaborating departments, clients, community members, and partner organizations.
* Represent EHC in resource fairs, tabling opportunities, and community meetings, as needed.
* Foster a climate of collaboration, understanding, and teamwork both within the program team(s), department, and as it relates to EHC in general.
* Adheres to professional ethics and boundaries in the care of others.
* Coordinate the implementation of the creative use of evolving social media platforms such as Facebook and Instagram to increase engagement and dialogue in cooperation with the Communications and Marketing team.
* Other duties and projects, as assigned by supervisor
EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES
* 2 or more years of professional experience in event planning, customer service, logistics and administration, or related fields, required
* Demonstrated cultural humility, strong cross-cultural sensitivity and experiences, required.
* Demonstrated ability to work within a community setting with diverse populations
* Able to present ideas and opinions clearly and concisely, both written and orally.
* Demonstrated ability to take initiative with new projects and assignments.
* Demonstrated organizational skills and ability to prioritize and handle multiple projects and programs at the same time
* Knowledge of community resources, churches and community organizations, especially those in North Philadelphia, preferred
* Competency in Google Suite, preferred.
* Ability to foster a spirit of humility, listening, and unity in response to criticism with the end goal of becoming better poised to serve the community. Ability to receive feedback from clients and share with supervisor and appropriate leaders to continue improving our systems and procedures.
* Demonstrable maturity and professionalism in the workplace.
* Able to integrate personal faith with work at EHC.
WORKING CONDITIONS
* Will require the ability to work some nights and weekends.
* Must be willing to work in a complex community
* Must be able to sit/stand at a desk for long periods of time.
* Must be able to read fine print on paper, computer, and databases.
* Must be able to lift 20 lbs. (assist with stacking chairs for community events, etc.), climb stairs, drive or travel to other EHC sites, and walk to and from parking lots.
