Job SummaryQuarry Oaks Golf Club is looking for a high performing, results-oriented Event Coordinator to join our team. This position is responsible for administrative and operational aspects of preparing and implementing events. Will work with other departments and vendors to assure that guests' expectations are met.Essential Duties and Responsibilities include, but are not limited to, the following.Abides by Company Safety Program and Policies, while performing duties safely.Works with clients to arrange banquets, luncheons, meetings, weddings, dances and other social events; obtains pertinent information needed for guest planning; creates and completes banquet event orders (BEOs); obtains necessary permits for special events and functions.Collaborates with NEBCO Marketing to promote, advertise, and market events as needed.Works with back of house staff to determine selling prices, menus and other details for catered events; oversees the development of contracts; assures that pre-planned banquet menu offerings are current and reflect client requests.Partners with golf department to coordinate and assist with golf events.Transmits necessary information and coordinates event planning with front-of-house staff, production, serving and housekeeping; arranges for printing of menus, procuring of decorations, entertainment and other special requests, etc.Diagrams room layout, banquet item placement and related function details; inspects finished arrangements; may be present to oversee the actual greeting and serving of guests.Scrutinizes function sheets against actual room setup; oversees personnel scheduling for special functions and may help supervise service personnel.Responsible for hands-on service work when needed and orchestrating events when necessary.Manages customer feedback, compliments, and complaints.Maintains past and potential client files; schedules calls or visits to assess ongoing needs of prospective clients for catering services.Helps develop catering budgets; reviews financial reports and takes corrective actions as appropriate to help assure that budget goals are met; manages banquet billing and arranges prompt payment for all events.Critiques functions to determine future needs and to implement necessary changes for increased quality.Ensures the security of club's guests' and their valuables during catered events.Ensures that proper housekeeping and energy conservation procedures are always followed.Plans professional development and training activities for subordinate staff; communicates information to all affected staff, provides feedback as necessary.Other duties as assigned.Education and/or Experience:
  • Bachelor's degree in Event Management, Hospitality Management, Public Relations or related field; and
  • 2 years related experience; or
  • equivalent combination of education, training, and experience.
Certificates, Licenses, Registrations:
  • Valid driver's license with an insurable driving record.
Other Qualifications:
  • Ability to work independently and make proper decisions.
  • Must have excellent project management skills with ability to plan, organize and prioritize multiple projects and tasks to meet deadlines.
  • Must be willing to work flexible hours, including late or irregular hours and weekends, to accommodate the work schedules at the various event sites.
  • Must have good skills in operating a personal computer and various software packages, including Microsoft Applications such as Outlook, Word, Excel, and PowerPoint.

  • Ability to respond to common inquiries, feedback, or complaints from guests, vendors, and employees in a professional and timely manner.
  • Ability to write policies and procedures, training programs and incident reports.
  • Ability to effectively present information to employee/public groups.
  • Ability to effectively communicate with employees and other business contacts in a courteous and professional manner.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to occasionally lift and/or move more than 25 pounds
