Overview

Oversees and executes the rental of assigned city facilities including preparing and executing rental agreements and payments. Assists in the oversight of City events. Manages the full range of building and room set-ups and cleaning duties in assigned buildings or other areas. Monitors assigned events.

* Maintain event calendar; schedule events.

* Prepares contracts to ensure clear terms and compliance with organizational policies. Identify and outline responsibilities in all areas, to include audio, video, security, etc.

* Oversee the submission and approval of necessary assembly permits ensuring all legal requirements are met. Communicates approval to all affected .

* Coordinates logistical needs with all affected city departments. For example, traffic barricades, trashcans, Police or Fire staffing, etc.

* Coordinate all tech needs for city sponsored events, to include audio and .

* Confirms the readiness of facilities prior to each event. This includes ensuring restrooms are cleaned and stocked and the placement of garbage cans in appropriate areas.

* Confirm trash is emptied, barricades are placed, and all are moved prior to events, as appropriate.

* Ensure the stocking of maintenance and custodial supplies at assigned facilities.

* Inspect facilities regularly to identify maintenance and repair needs; coordinate with facilities supervisor.

* Assist in marketing and promotion of events.

* Write and submit monthly reports of event types, locations, income, and approximate attendance.

* Assist in maintenance and reporting of Placer AI information.

* Performs related duties.

* The purpose of this position is to coordinate the event operations of city facilities. Successful performance requires efficient and effective task execution.

* The work consists of administrative and management duties. The unique needs of each client contribute to the complexity of the position.

* The work is typically performed while intermittently sitting, standing or stooping. The employee regularly lifts light and heavy objects and uses ladders, tools, or equipment requiring a high degree of dexterity.

* The work is typically performed indoors and outdoors. The employee is exposed to dust, dirt, grease, and machinery with moving parts. The work requires the use of protective devices such as masks, goggles, gloves, etc.

Qualifications

* Ability to read, write and perform basic mathematical calculations at a level commonly associated with the completion of high school or equivalent.

* Sufficient experience to understand and execute the principles relevant to the major duties of the position.

* Possession of or ability to readily obtain a valid driver's license for the type of vehicle or equipment operated.

* Knowledge of facility management principles.

* Knowledge of city policy and procedure.

* Knowledge of computers and job-related software programs.

* Knowledge of sound and lighting equipment operations and maintenance principles.

* Knowledge of cleaning, maintenance, and other basic custodial responsibilities.

* Knowledge of documentation required for renting city facilities and assembly permits.

* Knowledge of Microsoft products including Outlook, Word, Excel, Etc.

* Knowledge of safe work practices.

* Skill in prioritizing and organizing work.

* Skill in decision making and problem solving.

* Skill in the maintenance of files and records.

* Skill in interpersonal relations and in dealing with the public.
