Position Summary: The Event Coordinator performs a variety of tasks related to the creation and management of external events and group activities for the TRIO program and coordinates with other departments for on-campus events or activities. The Event Coordinator works with the Director of TRIO to plan and book off-campus travel for the purpose of cultural exposure and four-year college transfer possibilities. The Event Coordinator is responsible to input travel requests through college systems for approval under the direction of TRIO staff and handles marketing materials, event supplies, and handouts for all events attended by TRIO students/staff on- or off-campus. The Event Coordinator will also appropriately document student participation and follow up after the conclusion of these events.
Duties and responsibilities include but are not limited to:
* Develop yearly events calendar for cultural trips, four-year college visits, workshops, etc.
* Plan program events for students according to needs of program participants and within allotted budget.
* Organize and assist with facilitation of Academic Success Workshops.
* Create, edit, and maintain promotional materials for the department according to grant specifications and in collaboration with the marketing department.
* Attend weekly staff meetings and professional development sessions as determined by the project Director.
* Assist project Director in the evaluation of program events and activities.
* Document student participation in program events in Student Access system.
* Attend trips/visits/workshops at the discretion of the project Director.
* Provide guidance and referrals to IvyCares or other outside agencies as appropriate.
* Conduct all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA) and complete confidentiality.

Minimum Qualifications:
* Associate degree or three years of relevant experience, preferably in an education or human services setting.
* Computer literate with strong written and verbal communication skills, as well as strong presentation skills.
* Knowledgeable and sensitive to the needs of low-income or academically disadvantaged students.
* Must demonstrate ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees.
* The Event Coordinator must have the willingness and ability to travel.

NOTE: This is a grant-funded position. There is no guarantee of employment beyond the grant period, which ends August 31, 2025. Although the grant is expected to end on that date, sometimes additional funding can be obtained to extend a grant beyond the end date.
