**Event Coordinator - West**

Hagerty, an automotive lifestyle brand for people who love cars and love driving them has an opportunity for a **Regional Event Coordinator-West** to assist with the planning, management, and execution of Hagertys brand-driven Events and Hagerty Drivers Club Member Event activation. This position will be responsible for assisting in every part of event preparation including venue selection, vendor management, managing onsite logistics, payment reconciliation and navigation through the brand review and approval process with our internal creative team. As the event coordinator, you should be well-organized and maintain strong communication and attention to detail skills.The regional event coordinator position manages several projects at once. Travel and long hours, both on the road and in the office, are regularly required, particularly leading up to and following an event. **The position reports into the West Region team and will be based in Arizona or California.**

**What Youll Do:**

Assist with the execution of Hagerty Events; liaise with vendors, show organizers and internal stakeholders during the event planning process to ensure everything is in order.

Support Hagerty Membership Initiatives; drive awareness, promote benefits and features, integrate promotion in Hagertys presence at events.

Continually research and present potential sponsorship opportunities and unique event venues for consideration; create and manage running calendar list of car shows/events taking place in the region.

Prepare and conduct pre-event meetings for all staff attending upcoming events; set clear expectations on the road and check in with travelers during the event.

Assist West Region team in ordering and management of various event supplies including marketing materials, promotional items and booth set ups.

Create and manage lead tracking for each sponsored event; manage registration and RSVP's for Hagerty Drivers Club and Partner events.

Manage onsite event set-up and tear down.

Assist Territory Managers with post-event recaps with the event and/or venue in conjunction with internal sales and executive teams after the conclusion of the event.

Gather and analyze event success by compiling results from sales, social media, PR impressions, and event specific metrics to help determine event ROI and give recommendation on continuing sponsorships year over year.

Track expenses for event budget reconciliation; Ensure vendor payments are made in a timely and efficient manner.

**This Might Describe You:**

Bachelors Degree in a related field.

Proven experience in planning and organizing events.

Superior organizational and planning skills with excellent attention to detail.

Mastery-level project and time management skills.

Ability to demonstrate a positive energy and attitude while gracefully handling stress in the face of challenges and deadlines.

Ability to multitask, effectively prioritize, and execute tasks.

Able to handle a broad spectrum of day-to-day work responsibilities as related to Hagerty Drivers Club Membership and Regional Events.

Excellent leadership and coaching ability; can successfully motivate a range of employees on the road, often managing up.

Experience and comfort with Executive level interactions.

Ability to manage timelines necessary to meet demanding and tight deliverables schedule and deadlines, demonstrate great follow through skills to successfully meet deadlines and project dates.

Flexibility to travel, including nights and weekends, roughly 45-60 days a year. Extensive event travel is required for this position.

Outstanding communication and influencing skills across multiple business units and regions.

Must be able to perform physical tasks (lifting over 35lbs, standing and walking for long periods of time).
