Job Description:

Job Title: Event Support Coordinator

Location: Indianapolis, IN (Remote, with potential to convert to hybrid 3 days/week in office)

Employment Type: Contract (Potential for extension or conversion to permanent role)

Start Date: ASAP

Position Overview: We are seeking an Event Support Coordinator to join our team, primarily supporting the employee experience at our events. This role will be responsible for managing data, maintaining communication channels, and supporting staffing operations. The ideal candidate will be highly organized with excellent communication skills and a strong attention to detail.

Primary Responsibilities:

  • Manage timelines and ensure accuracy of all staffing deliverables.
  • Support staffing leads in the building and maintenance of the event registration tool (Rainfocus).
  • Moderate employee communication channels via Slack.
  • Track and report on metrics according to KPIs aligned with the Operations Center of Excellence.
  • Perform audits and reporting to monitor staffing and ensure employee compliance.
  • Provide onsite support during events as needed.

Daily Activities:

  • Working during normal business hours.
  • Collaborate with a small internal team, interacting primarily through Slack and email.
  • Manage and report on data using Google Sheets.
  • Review email and Slack messages, providing timely and professional responses in event channels.
  • Contribute to content and communications review as needed.

Required Skills:

  • Proficiency in Google Sheets, including complex formulas and data manipulation.
  • Strong data management skills and a keen eye for detail.
  • Exceptional written and verbal communication skills.
  • Ability to work independently, prioritize tasks, and manage multiple projects in a fast-paced environment.
  • Experience working cross-functionally and managing communications across various teams.

Preferred Skills (Teachable):

  • Familiarity with Rainfocus or other content management tools.
  • Understanding of Slack workflows and processes.

Qualifications:

  • Minimum of 2 years of experience in event registration, content management, or project management.
  • Comfort working with large data sets and ensuring accuracy in data tracking.
  • Self-starter with a positive attitude and willingness to take on new challenges.

Additional Information:

  • This position is remote, with the potential to convert to a hybrid schedule of 3 days/week in the Indianapolis office.
  • Candidates should be prepared to work in a dynamic, cross-functional environment with colleagues in various time zones (East & West Coast).
